The British Embassy is seeking a full time Executive Assistant to His Majesty’s Ambassador (Temporary – Maternity Leave Cover) to provide high quality administrative and organisational support to the Ambassador and the wider embassy. The role is central to ensuring the smooth running of the Ambassador’s office, including managing the Ambassador’s programme, coordinating with government ministries and diplomatic missions, and supporting official events and visits.
The job holder will handle correspondence, maintain contact databases, coordinate transport, lead diary management, and provide translation and protocol support as needed. This temporary position offers the opportunity to work closely with senior stakeholders and contribute to the effective delivery of the Embassy’s priorities during a period of maternity leave cover.
Roles and Responsibilities:
Assistance to HMA (60%)
- Manage the Ambassador’s programme, calendar, meetings, and travel arrangements.
- Coordinate activities across Embassy teams and ensure timely flow of information.
- Liaise with Kyrgyz MFA, government bodies, diplomatic missions, and international partners to support HMA’s engagements.
- Work with the Events Manager to plan and support official events hosted by HMA.
- Coordinate inward visits, including protocol, logistics, and programme preparation.
- Maintain and update Embassy contact databases.
- Organise transport requirements for HMA and visiting delegations.
- Translate and draft official documents and correspondence in English, Russian, and when needed, Kyrgyz.
Team support (20%)
- Act as Visa Focal Point, providing visa support during official, work visits, raising High Value Applications (HVAF) and Escalation cases. Close work with Visa Outreach Officer and UKVI. Offering brief consultations for partners, state bodies when needed. Stay up to date with the visa-related information to ensure timely and coordinated action.
- Act as Event Manager Assistant for events held at the HMA Residence when requested. Close work with catering companies, drafting invitations, collecting RSVPs, ensure smooth event management. Make necessary contributions to the KBP event, by updating guest list, sending out invitations and liaising with partners/ sponsors when needed.
- Procurement assistance to office when requested (ordering official letterheads, envelopes, blanks).
Transport management (15%)
- Daily management of drivers diary
- Contributing to VIP visits by briefing drivers and organizing proper routes
- Assistance to team while regional trips, booking vehicles and drivers.
- Transport arrangements for HMA/DHM regional trip, to make sure Embassy vehicles are checked and maintained
- Liaison with drivers both fixed and casual ones
- Managing drivers documents, performance and training management
Line Management (5%)
- Act as Line Manager for HMA’s driver, managing his diary supporting him in daily work, providing guidance, identifying relevant learning and development opportunities. Show effective management practices.

- Proven Executive/Personal Assistant experience in an international environment (minimum 2 years).
- Knowledge of local political, cultural, and administrative structures.
- fluency in English and Russian (written and spoken) C1 level of CEFR*.
- Excellent organisational skills with the ability to prioritise and multitask.
- Strong interpersonal and communication skills.
- Strong attention to detail and the ability to work with high level stakeholders.
- Proven IT competence with the full range of Microsoft Office software and other standard office technology.
- Flexible, responsible and reliable team player able to take initiative.

This is a full-time, fixed-term contract (36 hours per week) for a maternity leave cover.
The gross salary per month is 1,829 USD. Note that the 13th monthly salary is paid pro rata in November.
The successful candidate will be subject to a professional background check and security clearance and 1-month probation period (fixed term contract).

Staff recruited locally by the BE in Kyrgyzstan are subject to terms and conditions service according to Kyrgyz employment. Working hours: Monday to Friday 09.00-17.30.
Working Patterns: Monday to Friday – the successful candidate will be expected to work from the embassy – but the embassies policy on working hours can allow some flexibility (as long as the work is between core hours of 0830-1800).
Learning and Development: FCDO has a comprehensive Learning and Development offer. Regular on the job training is supplemented by training and mentoring options, classroom sessions and the possibility to travel overseas (where appropriate) e.g. for training and work.
