Home Office International Operations in Warsaw is looking to recruit an International Liaison Assistant (ILA) to provide administrative and organisational support to the team consisting of a Regional Manager International (RM) Liaison Manager (ILM) and International Liaison Officer (ILO) as necessary. HOIOs primary mission is to deliver upstream interventions, intelligence capabilities and partnerships to protect the UK from harm against the following priority threats – Organised Immigration Crime, Modern slavery and Human Trafficking, Class A drugs, Firearms and Cash.
The job holder will also contribute to the wider objectives of the British Government’s Polish network and to support the Embassy’s positive working environment by becoming part of the British Government’s presence in Poland.
Roles and responsibilities:
- Liaise with internal and external stakeholders including Embassy colleagues, airlines and local Law Enforcement across the region;
- Work closely with HMG partners at post, host authorities and international partners;
- Organise regional travel and training sessions;
- Organise internal/external meetings in consultation with the team, with potential attendance and translation and minute taking as required;
- Provide language support to the team members as directed (both written and spoken), including for exchanges of information and at official meetings and events, by using a strong command of business and technical Polish (as a fluent speaker). This may also require occasional attendance at events outside of normal working hours and travel to meetings with external stakeholders;
- Manage the team email inbox including responding to, actioning and referring on emails as appropriate;
- Maintain risk databases, including substantial data entry and related background research and development;
- Drafting of Data Protection Impact Assessment (DPIA) and Overseas Security and Justice Assessments (OSJAs);
- Supporting projects / financial spend capture-reporting;
- Prepare statistics, reports and presentations from substantial information to deliver to partners;
- Support colleagues in preparing briefings as directed;
- Carry out translation of documents and letters;
- Support broader corporate/embassy work as directed, especially during any crisis response.

Essential on arrival:
- Full professional proficiency in Polish and English at a minimum of C1 level according to CEFR*;
- Excellent IT literacy – knowledge of Microsoft Word, Excel, Outlook, Teams and PowerPoint is essential;
- A minimum of 1 year of experience in a similar administrative role;
- Ability to use initiative and deal with complex situations;
- Ability to work effectively within a small team;
- Ability to work effectively as part of the wider embassy structure, in accordance with embassy values, contributing to wider corporate life;
- Flexibility – occasionally the position may require the job holder to work extended hours or work flexibly, sometimes at short notice; this may include some travel.

This is a full-time, fixed-term position of 5 days (37.5 hours net) per week, from Monday to Friday, for the period of 2 years, with the possibility of renewal.
The salary for this position is PLN 9391 gross per month.
Other benefits:
- Staff are entitled to time-off-in-lieu for agreed extra hours worked.
- The annual leave entitlement is 20 or 26 days per year pro rata.
- The Embassy also enjoys a maximum of 14 Polish/UK public holidays per year.
Please note that staff members are responsible for paying any income tax required by the local law.
The successful candidate will be subject to reference checks and the satisfactory completion of a probationary period of six months.
Visa / Passport requirements: Candidates must currently hold the independent right to live and work in Poland and be prepared to ensure that right remains throughout the scope of the contract. Please note that it is your responsibility to ensure you meet the legal requirements to live and work in this country. The British Embassy does not sponsor work permits.

Working patterns: The British Embassy Warsaw has a strong commitment to work/life balance. Standard office hours are 8.30-16.30 with flexi-hours possibility within the opening hours 8.00-18.00. We also have mobile technology and offer hybrid working with remote working days to be agreed with Line Managers.
