The British Embassy Madrid is now looking for an Operations Support Coordinator to join the Department for Business and Trade (DBT) Spain and Europe team.

Main purpose of job:
This role sits at the heart of DBT Europe operations, supporting a large, complex regional network. You will play a central role in overseeing financial performance, business planning and operational delivery across Europe, while also providing direct support to DBT Spain and Iberia. Working closely with senior leaders, you will help ensure resources are aligned to priorities, support effective decision-making, and contribute to the successful delivery of business objectives across the region.
What will you do?
You will take on a varied and impactful role, including:
- Leading Europe-wide pay forecasting and supporting the management of a significant regional budget, ensuring strong financial discipline and value for money.
- Supporting regional business planning and performance processes, providing analysis, challenge and advice to senior stakeholders.
- Acting as Operations Support Coordinator for DBT Spain and Iberia, overseeing financial management, business operations and delivery.
- Providing PMO-style support, ensuring effective coordination of business activities where dedicated resource may be limited.
- Managing the DBT Spain intern programme, including recruitment, development and performance oversight.
- Building strong relationships across Europe, supporting coordination and responding to operational and financial queries.
- Supporting senior decision-making by delivering clear, accurate analysis and performance reporting.
- Identifying risks and supporting escalation and resolution of issues across financial and operational areas.

Our Ideal Candidate shows:
- Full professional proficiency in English and Spanish, both written and spoken (minimum C1 level in line with the CEFR framework);
- A minimum of 5 years’ experience managing budgets and analysing financial or performance data;
- Strong experience in line management, supervising teams, projects or programmes;
- Proven ability to manage performance and develop effective reporting tools, including dashboards;
- Knowledge of data tools or programming languages (e.g. SQL) and the ability to work confidently with data sets;
- Experience working in procurement or supporting procurement processes;
- Experience working in an international environment, with the ability to represent their organisation effectively across different cultural and organisational contexts;
- Excellent communication skills, with the ability to adapt your approach to different audiences;
- Strong analytical thinking and the ability to translate data into clear, actionable insights;

This is a full-time, permanent contract at EO – ES grade level, based in Madrid.
The successful candidate is subject to a confirmation of a background check, security clearance and the successful completion of a probationary period.
The successful candidate will be enrolled in the Spanish Social Security Scheme and will therefore not be entitled to any gratuity from the Embassy based on gross annual salary.
The Embassy is a Diplomatic Mission with tax exempt status and does not collect taxes for other States. Employees are fully responsible for payment of income tax at the legally required rate. Staff recruited locally by the British Embassy in Spain are subject to terms and conditions of service according to local Spanish employment law.
The British Embassy in Madrid occupies floors of a high-rise building. In an emergency, lifts may be inoperable, requiring evacuation via stairs or to a fire safety refuge. Applicants with mobility needs are encouraged to discuss this with the job sponsor to ensure appropriate arrangements, including a Personal Emergency Evacuation Plan.
Visa/work permit requirements: Candidates must currently hold the independent right to live and work in Spain and be prepared to ensure that right remains throughout the scope of the contract.
Working patterns: Normal working hours are 37.5 per week: 8.00am to 16:00pm from Monday to Friday.
Learning & Development:
The Spain Network puts a very strong emphasis on L&D and the jobholder will be able to benefit from opportunities offered by the International Academy and civil service learning, as well as informal opportunities within the Embassy on topics.
The DBT Spain network has a strong ethos of Learning & Development, including internal L&D courses and a budget that can be used for external opportunities. In addition, there will be many opportunities to attend seminars and events on relevant issues. This is in addition to the induction programme offered to all staff.
