We are currently recruiting a well-organised, proactive and motivated Outer Office Support Officer to join the Ambassador’s Office. Main purpose of job:
Working closely with the Ambassador’s Private Secretary and other Private Office colleagues, the Outer Office Support Officer provides essential administrative and coordination support to the Ambassador and Deputy Head of Mission (DHM). The role offers unrivalled exposure to the Ambassador and senior leadership team, and a unique opportunity to learn how diplomatic priorities, stakeholder engagement and high‑level visits are managed in practice.
You will play a key role in ensuring the smooth and efficient running of the Ambassador’s Outer Office. This includes supporting diary coordination, stakeholder engagement, visits, events and a range of operational activities, often managing competing priorities in a fast-paced environment.
Roles and responsibilities:
- Outer Office & Diary Coordination: You will provide core administrative support to the Ambassador’s Outer Office, with primary responsibility for overseeing the Deputy Head of Mission’s diary. This includes scheduling meetings, balancing competing priorities, coordinating with internal and external stakeholders and ensuring agendas and logistics are well organised. You will also support elements of the Ambassador’s diary management, helping ensure time is used effectively and engagements are properly prepared.
- Stakeholder Management & Engagement Tracking: You will support the effective management of the Ambassador’s and DHM’s stakeholder relationships by maintaining accurate contact lists, CRM systems and engagement trackers. You will help ensure follow up actions are completed in a timely way, correspondence are recorded appropriately and senior colleagues have clear visibility of key relationships and ongoing engagements.
- Visits, Logistics and Regional Programme Support: You will provide practical support for the planning and delivery of regional visits, external meetings, and official engagements across the Netherlands. This includes assisting with itineraries, logistics, coordination with Embassy teams and external partners, and ensuring visits run smoothly and professionally.
- Events Administration & Financial Processes: You will support the administrative delivery of Residence and Embassy events, including managing invitations and guest lists, drafting thank you letters, processing invoices and liaising with suppliers. You will liaise with suppliers and colleagues to ensure events are delivered to a high standard and in line with Embassy procedures.
- Briefings & Office Support: You will assist with the preparation and coordination of briefings by collating background material, tracking engagement history and ensuring documents are accurate and up to date. You will also provide general administrative support across the Outer Office, contributing to a well-run and responsive environment.

Our Ideal Candidate shows:
- Proficiency in English, both written and spoken, minimum of C1 level according to the CEFR framework*, or equivalent;
- Experience supporting senior stakeholders and/or coordinating events or visits, including managing logistics, scheduling, or competing priorities in a fast-paced environment;
- Strong interpersonal and communication skills, with the ability to build effective working relationships with colleagues at all levels and with external stakeholders;
- Strong organisational and administrative skills, including the ability to manage multiple tasks, prioritise effectively, and maintain a high level of accuracy and attention to detail;
- A proactive and flexible approach, with the ability to respond calmly and effectively to changing priorities;
- Good IT skills, including experience with Microsoft Outlook, Word and Teams;
- High levels of discretion, professionalism and sound judgement, particularly when handling sensitive information.

Nice to have:
- Working knowledge of Dutch (any level) would be an advantage;
- Familiarity with the Dutch political system and network in The Hague;
- Demonstrated interest in diplomacy, international relations or government work, and motivation to learn more about Private Office operations;

The base salary for this position is €3,852.65 gross per month, based on a working week of 36 hours. In addition, an 8% holiday allowance is payable each year. The successful candidate will initially be offered a 7 months employment contract at Administrative Officer (AO) grade.
