Main purpose of job
The British Embassy in Mexico City is seeking to appoint a Transport, Logistics and Protocol Analyst to be part of the Logistics team/Corporate Services.
The successful candidate will be responsible for overseeing the daily operational needs of the team, as well as managing a variety of administrative and logistical activities to support the Mexico Network. Additionally, they will serve as Deputy to the team leader.
The role requires experience in liaising with the Mexican Foreign Ministry (SRE), Mexican Customs authorities, and a range of government offices. Additionally, the successful candidate will support with the logistics arrangements of importations and exportations, high-level visit transportation planning, and drafting of official documents.
The position requires the jobholder to work closely with the Ambassador’s Private Office, Senior Management and key stakeholders in government thus the ideal candidate should demonstrate solid relationship management skills, a proactive approach and maintain a positive, solutions-oriented attitude.
Roles and responsibilities
Logistics expertise, operating through effective attention to detail, and strong analytical skills. (30%)
- Assist the logistics teams in Mexico, London, and Washington with official import and export activities under Diplomatic Bag & Franchise status. Supporting the process of obtaining import/export authorizations from SRE and securing the necessary clearances in coordination with freight forwarding companies.
- Operate and coordinate with Mexican authorities in sending/receiving sensitive diplomatic bag schedules and dealing with customs clearances.
- Coordination of diplomats’ logistics processes related to arrivals and departures, working closely with shipping companies and supporting with customs clearance procedures, working closely with the Estates and CLO teams.
- Support with the coordination of Royal Air/Navy Force official visit working closely with MOD, preparing the necessary documentation to secure clearances from SRE, airport and SEDENA.
- Manage the Embassy’s hotel agreements in Mexico City, Monterrey, Guadalajara and Cancun.
Transport Management (30%)
- Manage daily official transportation and operational requirements, ensuring that all requests are handled promptly and efficiently.
- Coordinate official transport for VIP and VVIP Visits working closely with the Visit Officer and/or relevant teams across the Embassy.
- Oversee the maintenance of the official network fleet, including maintaining vehicle logbooks and ensuring insurance documentation is up to date.
- Lead on diplomatic registration, cancellations and update of vehicles fleet before the Ministry of Foreign Affairs (SRE).
- Manage the Embassy’s contracts with transportation and other key suppliers to maintain high-quality service and strong professional relationships.
- Oversee the management of the team’s general mailbox and coordinate response actions with team.
Protocol, compliance expertise and support to the Team Manager (30%)
- Draft and issue official documents and Note Verbal / Diplomatic Notes to SRE and other Missions.
- Complete all necessary official documentation requested by authorities for importations and exportations.
- Manage official registration and cancellation processes for diplomatic accreditations before SRE.
- Support the team lead and Visits Officer with the drafting and sharing of NVs for VIP and VVIP Visits.
- Cover in the absence of the Manager when necessary.
Finance and Corporate activities (10%)
- Manage payments and expenses, ensuring timely processing and accuracy.
- Ensure that the official documents are kept up-to-date and properly maintained.
- Assist with Capital Acquisitions.
- Serve as a backup for the management of the cash imprest.
- Accurately oversee the forecasting and management of payments related to vehicle fleet maintenance services and parking facilities for staff.

- University-level degree in Logistics, International Trade, International Relations, Administration or related field and/or at least 1 year of experience in a related field.
- Excellent interpersonal and communication skills in both English and Spanish.
- Proficient in both written and spoken English and Spanish.
- Ability to grasp new concepts quickly and to retain new information.
- Strong relationship management and collaboration skills.
- Organised approach to work with good attention to detail.
- Proficient computer skills (MS Office Suite applications).

Employees who are not liable to pay local income tax on their Mission salary, e.g. some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.
Appointable candidates who were unsuccessful may be placed on a ‘reserve list’. If during the reserve period of 6 months the same or a largely similar role becomes available, that role may be offered to the second or subsequent candidate.

Working Patterns
This role is permanent and full-time at 38 working hours per week. Please be aware that occasional out of hours work will be required. Our standard business hours are Monday to Thursday between 8:00-16:30 and Friday between 8:00-14:00.
Employees are required to attend the office at least 24 hours per week (3 days approx.), with the option to work 2 days from home. This can change at any time, when instructed by our leaders and/or managers.
The FCDO operated an agile workforce. To facilitate this, you may be required to undertake other duties from time to time as we may reasonably require.
