Who are we?
The British Embassy in Madrid is part of a global network representing British political, economic and consular interests overseas and is now recruiting for a Workflow Manager position at the Emergency Travel Document (ETD) Centre in Madrid.
Main purpose of job:
Consular assistance is a FCDO priority and issuing Emergency Travel Documents (ETDs) is a large part of the assistance offered to British nationals working or travelling overseas.
This role is a job share working one day a week in the operational team job sharing with our existing Regional Operations Manager and spending the rest of the week on time-limited policy projects for the Consular Services Policy Team (CSPT).
The ETD Centre (ETDC) operates as a hub, managing all ETD applications globally from three centralised locations (Singapore, Madrid and Mexico).
Between the ETDC we operate a near 24-hour service, 6 days a week. Working in a busy team in Madrid, you will work in tandem with the Regional Operations Manager in Madrid and Singapore, as well as Workflow Managers in Singapore and Mexico City, to manage and coordinate the efficient flow of global ETD applications in ETDC, ensuring ETDC meet the overall Service Level Agreement (SLA) of 2 working days for straightforward applications.
Providing support and direction to ETD staff ensuring the overall workflow management of all ETD applications accepted via our global network of Consular posts covering multiple regions and time zones. In your policy capacity, you will help us on time-limited projects such as refreshing our policy on ETD eligibility and couriering.

Roles and responsibilities:
- Delivering the operational running of the Emergency Travel Document Centre (ETC) in Madrid one day a week as part of an effective and supportive job share arrangement;
- Leading on ETD policy projects four days a week including continuing to iterate on our couriering policy;
- Running a time limited piece of work on the legal basis for rejecting travel documents;
- Supporting ETD policy casework as needed.

Please be advised that Consular positions at the FCDO entail dealing with crisis and casework in situations that may involve death, detention, rape, assault, post-mortems, prison visits and highly distressed customers. Candidates should therefore have a high level of resilience to trauma.
This is a full-time, temporary contract for 6 months at HEO grade level, based in Madrid.
Working hours are 37.5 per week. Emergency Travel Document (ETD) Centre staff are required to work on a rotational shift pattern. Centre opening hours are 0700 to 2200. In this role, standard working hours are between 0800 to 1630, your working hours will adjust regularly to meet the needs of the team and service delivery. Working hours could involve some weekends, unsociable hours and public holidays as well as being on-call for shifts you choose. The British Embassy Madrid supports and promotes flexible working where possible as a crucial part of our inclusive offering.
The successful candidate is subject to a confirmation of a background check, security clearance and the successful completion of a probationary period.
The successful candidate will be enrolled in the Spanish Social Security Scheme and will therefore not be entitled to any gratuity from the Embassy based on gross annual salary.
The Embassy is a Diplomatic Mission with tax exempt status and does not collect taxes for other States. Employees are fully responsible for payment of income tax at the legally required rate. Staff recruited locally by the British Embassy in Spain are subject to terms and conditions of service according to local Spanish employment law.
The British Embassy in Madrid occupies four floors of a high-rise building. In an emergency, lifts may be inoperable, requiring evacuation via stairs or to a fire safety refuge. Applicants with mobility needs are encouraged to discuss this with the job sponsor to ensure appropriate arrangements, including a Personal Emergency Evacuation Plan.
Visa/work permit requirements: Candidates must currently hold the independent right to live and work in Spain and be prepared to ensure that right remains throughout the scope of the contract.
Working patterns: Normal working hours are 37.5 per week: 8.00am to 16:00pm from Monday to Friday.
Learning & Development: We offer time and financial support for the successful candidate to take advantage of professional learning and development opportunities inside and outside of the organisation. All new hires undertake a workplace induction and there are a number of mandatory e-learning courses that must be completed in order to pass probation.
