This position as Logistics Assistant is located in the Operations unit of the Transport Centre in UNICEF Supply Division.
The incumbent will coordinate and monitor activities related to the international transport of supplies to ensure timely and cost-effective movement, with the overall goal of meeting the needs and requirements of UNICEF assisted programs and Procurement Service customers.
How Can You Make a Difference?
Under the supervision of the Logistics Specialist, the Logistics Assistant performs all activities in compliance with the UNICEF Financial Rules and Regulations, Supply Division Manual and other applicable procurement and logistics procedures in order to ensure timely deliveries of UNICEF-procured supplies including:
- In liaison with forwarding agents arranges for consolidation and containerization of sea shipments, considering programme priority, warehouse capacity, purchase order delivery dates and special requests from Field offices & procurement services customers.
- Reviews and approves freight quotations from freight forwarders, and approves transport bookings for air or surface shipments.
- Performs close monitoring of on-going and planned shipments by providing regular forecast reports and tracking of open action points.
- Validates all shipping documents, bills of lading, air waybills, packing lists etc., and update relevant data fields. Distributes shipping reports and updates internal/external clients on their shipments.
- Provides field offices and procurement centers in Supply Division with freight estimates and quotations when requested.
- Provides guidance and advice to field offices and other centers in Copenhagen on shipping matters such as packing, containerization, modes of shipment, routings, etc. enabling correct instructions in purchase orders by Procurement and cost-effective delivery.
- Manages complaints related to delivery of supplies and related to international shipments ensuring complaint is registered with quality assurance center Identifies corrective and preventative actions, and ensures consistent follow up with involved parties to resolve complaint
- Maintains Country Office consignee contact list in order to provide Freight Forwarders with up-to-date and accurate contact information to facilitate international shipments, including active follow up with Country offices for any updates or changes
- Any other duties or assignments as requested by the supervisor.
To qualify as a Champion for every Child you will have…
Required:
- Completion of secondary education with additional training in Logistics, transport, data/reporting or a related field
- At least 5 years of relevant working experience in logistics operations, international shipping, and reporting
- Intermediate Excel skills
- Fluency in English.
- Valid work permit and residency in Denmark at the time of submitting the application. Note that the selected candidate is responsible for obtaining any required extension of their residency permit as an extension cannot be dependent on an employment with UNICEF.
Desirable:
- Advanced MS Office Suite knowledge and experience in reporting
- Knowledge of other computer tools: ERP (SAP), PowerBI, online collaborative tools
- Proficiency in additional UN Language (Arabic, Chinese, French, Russian, Spanish).
