Planning & Monitoring Coordinator

In order to support the expected growth of the Foundation’s multi-annual programming, at a critical time for rethinking the partnership between Africa and Europe, we are seeking to recruit a Planning, Monitoring and Evaluation Executive. This is a new position and support function for the core team of the Africa Europe Foundation (AEF). It represents a unique opportunity for a professional seeking to grow in the domain of international relations, who shares our values and is passionate about contributing to a real partnership between Africa and Europe.
WHAT WILL YOU BE DOING?
Overall purpose and responsibility of the role:
This is a new role reflecting the importance of embedding monitoring, evaluation and knowledge management from the outset and at the launch phase of the Africa Europe Foundation. The jobholder will work as a member of the core team of the Foundation with responsibilities related to managing the administrative support of the programmes, knowledge management, internal information flow and support functions for strategic and operational planning.
Key responsibilities:
- Gathering data and contents for monitoring reports to track the progress across AEF work-streams, and maintain the digital systems for capturing impact.
- Support the development of monitoring tools to aggregate relevant data for reporting and communication products, and work closely with the Foundation teams to ensure timely inputs into the monitoring and information systems.
- Support, in close collaboration with the Senior Manager Programme Planning, Performance & Operations, the development of programme monitoring and evaluation processes.
- Carry out mapping initiatives across the AEF work-streams including mapping how transversal issues are embedded in the work-streams, mapping of the AEF networks and members of the Strategy Groups to inform programming.
- Keep track of the challenges and issues raised through monitoring reports to see how these will impact on the ability of AEF to meet the objectives of its annual plan.
- Support the development (and maintenance, where applicable) of policies, processes, systems and tools to facilitate effective and efficient planning, monitoring and knowledge sharing across the AEF areas of work.
- Maintain up-to-date information on the international policy agenda relevant to the work-streams of the Foundation.
- Support contents development through the drafting of briefings and background papers linked to AEF’s outreach and advocacy priorities areas and transversal themes, and support the process of preparation of talking points, speeches and associated visual materials to facilitate presentations.
- Act as a transversal administrative support & coordination function for managing the schedules of the AEF director and senior management to maximise capacity for external relations and support the internal information policy. Prepare meeting agendas, perform research for meetings and provide record-taking as required.
- Liaise as required with managers, fellows and advisors on behalf of the senior management to support internal information sharing and coordination.
- Support, in close collaboration with the Senior Manager Programme Performance & Operations, the development of programme monitoring and evaluation processes.
- Support the organisation of trainings on planning, monitoring and evaluation within the Foundation team by mapping the needs and supporting the development of relevant materials and tools.
- Contribute to ensuring an effective implementation of key outreach activities and supporting processes to gather relevant information for reporting and communications.
WHAT SKILLS AND QUALIFICATIONS DO YOU NEED TO HAVE?Education, experience & knowledge
- Experience in projects related to the fields
- Project management experience is a plus
- Having a particular interest in working for a think-tank

WHO CAN APPLY?
This position is only open to nationals of EU/EEA member states or Switzerland, and to non-EU nationals in possession of a valid work permit.
Candidates must be legally and permanently allowed to work in Belgium (no assistance provided to obtain a visa or work permit).
