Job Summary/ General Purpose of Job

Accountable for processing basic contracts for goods and services, purchase requests, and expense reports, and for performing other accounts-related duties in support of all departments.


Principal Duties/ Job Responsibilities

·Prioritizes, processes, and manages basic contracts and corresponding documentation for a variety of goods and services, including processing corresponding invoices and monitoring purchase order balances; complies with organization’s competitive bidding policies and consultation and approval chains.

·Prioritizes, processes, and manages a variety of purchase requests, complying with organizational policies and consultation and approval chains; handles returns or exchanges as needed.

·Supports staff with the submission of basic expense reports to request reimbursement for business-related expenditures; works with staff and stakeholders to ensure timely and efficient processing and resolution of expense reports.

·Monitors internal spending of respective budgets and works with staff and stakeholders to develop internal, non-personnel expense budgets for upcoming fiscal years.

·Reports organization’s personal property tax inventory for IRS rendition forms; prepares reports of purchasing expenditures to funders as needed.

·Works with teams and stakeholders to maintain and execute business continuity plans and continue vital operations amid disruption or disaster.

·Performs other related duties as required.


Required Education, Qualifications, Experience

·Possession of a high school diploma or GED.

·1-year work experience in contract procurement, accounting, administrative assistant, or similar role.

·Previous experience in accounting, administrative assistant, or similar role.

·Able to multitask, prioritize, and manage time efficiently.

·Devotion to exceptional customer service; strong interpersonal and negotiation skills; advanced to superior verbal and written communication skills in English.

·Capable of adapting quickly to new changes or circumstances; capable of managing stress; demonstrate commitment to servant leadership values.

·Strong problem-solving and analytical skills; strong organizing skills; outstanding attention to detail.

·Proficient in Microsoft Office 365 and Google Business tools.

·Proficient with conducting virtual meetings, training, and observations on software platforms such as Zoom, Teams, etc.

·Have reliable home Internet and phone service.
 
Preferred Education, Qualifications, Experience

·Possession of an associate degree or higher in accounting, bookkeeping, business administration, or other, work-related field.

·2-year work experience in contract procurement, purchasing, expense reporting, accounts payable/receivable, or other, work-related field.

·Prior experience in purchasing, accounts payable/receivables, or other, work-related field. · Intermediate to advanced proficiency in English and Spanish in written and spoken forms.

·Prior volunteer, community, or work in non-profit, especially in support of vulnerable or underprivileged populations.


Physical Requirements

Continuously operates a computer and other office machinery, such as telephone, copy machine, and printer.

As a normal course of business, this job will typically require travel less than 5% of the time.
