Job Summary/General Purpose of Job

Accountable for processing substantive contracts for goods/ services, purchases, and expense reports; for providing training to staff on accounts-related processes; and for performing other accounts-related duties in support of all departments.

Essential Job Functions and Responsibilities  

  • Processes and manages substantive contracts and corresponding documentation for a variety of goods and services, including processing corresponding invoices and monitoring purchase order balances; complies with organization’s competitive bidding policies, web hosting policies, and consultation/ approval chains.
  • Processes, and manages computer hardware/ software-related purchase requests in compliance with organizational policies and consultation and approval chains; handles return or exchange of items as needed.
  • Prepares and provides training to staff on a variety of accounts-related processes and best practices; maintains up-to-date, accessible support materials.
  • Processes and manages documentation for corporate card requests and limit increases; provides support with resolution of corporate card account issues.
  • Supports staff with the submission of substantive expense reports for business-related expenditures; works with staff and stakeholders to ensure timely and efficient processing and resolution of expense reports.
  • Books and purchases group and individual business-related travel and accommodation on an as-needed basis for staff and contractors; provides support with travel and accommodation-related expense reporting.
  • Monitors internal spending of respective budgets and works with staff and stakeholders to develop internal, non-personnel expense budgets for upcoming fiscal years; prepares expenditure reports for stakeholders and funders as needed.
  • Works with teams and stakeholders to maintain and execute business continuity plans and continue vital operations amid disruption or disaster.
  • Performs other related duties as required.

 

Required Education, Qualifications, Experience  

  • Possession of a high school diploma or GED.
  • Previous experience as an Account Specialist.
  • One or more years’ experience with processing invoices or expenses or working in the fields of accounts payable and reimbursement.
  • Excellent ability to multitask, prioritize, and manage time efficiently.
  • Commitment to exceptional customer service; excellent interpersonal and negotiation skills; excellent verbal and written communication skills in English.
  • Capable of adapting quickly to new changes or circumstances; capable of managing stress; demonstrate commitment to servant leadership values.
  • Excellent problem-solving and analytical skills; excellent organizing skills; outstanding attention to detail.
  • Proficient in Microsoft Office 365 and Google Business tools.
  • Advanced proficiency with conducting virtual meetings, training, and observations on software platforms such as Zoom, Teams, etc.
  • Have reliable home Internet service.

 

Preferred Education, Qualifications, Experience  

  • Possession of an associate degree or higher in accounting, bookkeeping, business administration, or other, work-related field.
  • 2-year work experience in contract procurement, purchasing, expense reporting, accounts payable/receivable, or other, work-related field.
  • Intermediate to advanced proficiency in English and Spanish in written and spoken forms.
  • Advanced proficiency in Microsoft Office 365 and Google Business tools.
  • Prior volunteer, community, or work in non-profit, especially in support of vulnerable or underprivileged populations.

 

Physical Requirements

Continuously operates a computer and other office machinery, such as telephone, copy machine, and printer.

 

Travel

As a normal course of business, this job will typically require travel of less than 5% of the time.

COVID-19 Response: 

ProBAR leadership has responded proactively to support the health and wellbeing of our staff and the individuals we serve. We are currently providing the majority of our legal services remotely while telecommuting.
