Job Summary/ General Purpose of Job  

Accountable for performing general administrative duties and office support functions in support of all departments. Provides assistance to department leaders and/or teams on routine and special department projects. 


Essential Job Functions and Responsibilities (listed in order of importance and/or time spent) 


  • Prioritizes and fulfills division’s administrative support function to all departments; supports efforts to maintain alignment with organizational policies across all teams and departments; supports implementation of practical solutions to promote efficient workflows across departments and improve access to information and resources. 
  • Provides general support with preparation of training opportunities for staff to learn about division services and procedures or changes/updates to services and procedures; maintains accessible documentation of division services and procedures; assists with review of processes to ensure up-to-date documentation and compliance with rules and policies. 
  • Performs duties associated with office-wide records management system for hardcopy and digital libraries, including but not limited to cataloguing, scanning, filing, and archiving; assists with routine audits to maintain up-to-date collections and ensure compliance with records management protocol across teams and departments. 
  • Opens, electronically scans, and uploads incoming legal-related mail to case management platform after envelopes have been physically inspected by Facilities Coordinators. Files away hardcopy mail and alerts staff member of arrived mail uploaded to case management platform. 
  • Designs visual layout and documentation of office-wide, internal communications protocol; provides general support with maintenance and review of communication channels and platforms; provides general support with related training for staff. 
  • Provides support with creation and distribution of internal, office-wide newsletter; solicits and reviews content; assists with design and publication. 
  • Provides support with planning and staging office-wide events and activities, including office-wide team building and wellness events/activities; liaises with staff, vendors, and stakeholders on matters related to event planning; assists Facilities Coordinators with event setup and teardown, as necessary; supports compliance with safety/security policies and purchasing rules and policies related to events and activities. 
  • Fields and responds to requests for printing and design services, including but not limited to business cards, nameplates, letterhead and envelopes, brochures, posters, banners, and other printed materials; complies with document-creation and branding protocol. 
  • Works in collaboration with other teams and stakeholders to maintain business continuity plans, continue vital operations amid disruption or disaster, and provide support in disaster recovery of key functions and resources. 
  • Provides support with development of internal, non-personnel expense budgets; complies with purchasing and competitive bidding policies for the procurement of relevant products and services. 
  • Performs other related duties as required. 
Required Education, Qualifications, Experience

  • Possession of a high school diploma or GED.
  • One year experience with work as an administrative assistant or office support role.
  • Able to multitask, prioritize, and manage time efficiently.
  • Devotion to exceptional customer service; strong interpersonal skills; excellent verbal and written communication skills in English.
  • Capable of adapting quickly to new changes or circumstances; capable of managing stress; demonstrate commitment to servant leadership values.
  • Strong problem-solving and analytical skills; strong organizing skills; outstanding attention to detail.
  • Proficient in Microsoft Office 365 and Google Business tools.
  • Proficient with conducting virtual meetings, training, and observations on software platforms such as Zoom, Teams, etc.
  • Must have reliable phone and internet service. 


Preferred Education, Qualifications, Experience

  • Possession of an associate’s or higher degree in business administration, legal studies, or other work-related field and 1 year experience in an administrative role.
  • Prior volunteer, community, or work in non-profit, especially in support of vulnerable or underprivileged populations.
  • Intermediate to advanced proficiency in English and Spanish in written and spoken forms.
Physical Requirements 
Continuously operates a computer and other office machinery, such as telephone, copy machine, and computer printer.

Travel
As a normal course of business, this job will typically require travel of less than 5% of the time.

ProBAR leadership has responded proactively to support the health and wellbeing of our staff and the individuals we serve.
