Job Summary/General Purpose of Job
Accountable for management of facilities and work areas; responsible for business continuity and disaster recovery, including emergency preparedness planning, documentation, and training; responsible for asset management and shipping and receiving.  Provides coaching, counseling, leadership, performance feedback, and, where appropriate, applies discipline to direct reports.    
Essential Job Functions and Responsibilities 
 • Supervises and coordinates routine inspection, maintenance, repair and protection of buildings, grounds, and associated assets.  Oversees staff and contractors that install, inspect, repair, and maintain facilities and assets, including but not limited to service and repair technicians, janitorial staff, security contractors, IT and networking technicians, and furniture installers.  
• Supervises and coordinates the functional upkeep and orderly appearance of all work and common areas.  
• Develops and maintains business continuity, emergency preparedness, and disaster recovery practices and procedures in accordance with ABA policies.  Works in accordance with other teams to continue operations amid disruption or disaster and implements procedures for disaster recovery.
• Oversees maintenance and upgrade of security camera and access control systems, including communication with systems service personnel.  Oversees and coordinates the routine activities of contracted security professionals.  
• Evaluates risk management practices and procedures to assess risk and adherence to the law.  Monitors compliance to policies and laws by inspecting employees and operations.  Maintains effective records and documentation of workplace compliance of safety, security, and accessibility standards and protocol.  Oversees investigation of accidents or incidents to discover causes and handle worker’s compensation claims.
• Provides support with and input on workspace planning and layout.  
• Oversees asset management, including but not limited to computer hardware, software, and accessories; furniture systems, equipment, decoration, and accessories; and office and mail supplies.  
• Oversees compliance and promotion of workplace recycling and other green initiatives.  
• Oversees shipping and receiving workflows.  
• Assists with compliance of ABA purchasing policies and competitive bidding procedures for the acquisition of facilities-related products and services.  
• Oversees effective documentation and recordkeeping of all facilities-related operational procedures and initiatives.  
• Performs other related duties as required.

Required Education, Qualifications, Experience
 
• Possession of a bachelor’s degree, or accumulated college hours, in risk management, facility management, business administration, or related field, or equivalent work experience in a work-related role.

• A minimum of 1 year experience overseeing a facilities management program.
• Able to multitask, prioritize, and manage time efficiently.
• Familiar with worker’s compensation procedures. 
• Strong problem-solving and analytical skills.
• Exceptional communication and interpersonal abilities
• Exceptional attention to detail.
• Able to motivate, lead, and mentor team and staff.
• Excellent organizational and project management skills.
• Advanced proficiency in Microsoft Office 365 and Google Business tools.
• Advanced proficiency with conducting virtual meetings, training, and observations on software platforms such as Zoom, Teams, etc.
• Have reliable home Internet service.
• Have reliable transportation to travel to off-site work locations.
• Must be insurable and have a good driving record.

Preferred Education, Qualifications, Experience

• Possession of a master’s degree in risk management, business administration, facility management, information management, or related field with equivalent work experience.
• 3 or more years’ experience in leadership or supervisory capacity.
• Current certification in OSHA 10.
• Solid understanding of legal and safety guidelines.
• Prior non-profit work experience, particularly involving field work or off-site work locations.
• Fluency in English and Spanish in written and spoken forms.
• Prior volunteer experience and/or community involvement, especially in support of vulnerable or underprivileged populations.

Physical Requirements 

Must be able to successfully perform all required duties. Some travel and weekend work may be required. Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including a person requiring assistance. Must be able to lift up to 25 pounds. 

Travel Required
As a normal course of business, this job will typically require travel of less than 15% of the time.
