The, Water, Sanitation and Education Centre (WSEC) manages global procurement of WASH, Education and Project support commodity group for both regular programme and emergency response ensuring uninterrupted supply of supply emergency listed commodities with no stock out. This post is responsible for warehouse replenishment order for both WASH and Education products in a timely manner. This is a critical function requiring coordination with different stakeholders as well as close monitoring of supplier performance.
The Education Unit within WSEC is looking for a Procurement Assistant for a temporary position. The Unit comprises of 5 staff member responsible for commercial work with two staff in the technical function. The Unit provides and executes procurement in accordance with the UNICEF Rules and Regulations for Educational Kits and products and initiates timely procurement action to ensure renewal and/or establishment of Long Term Arrangements are completed as per WSEC priority timeline.
How Can You Make a Difference?
Under the general supervision of the Contracts Manager in the Education Unit, the Procurement Assistant monitors incoming procurement requisitions for own commodity area, plan and issue Purchase Orders and run the Material Replenishment Plan (MRP)for replenishment of standard stock items kept in Copenhagen warehouse and appointed strategic hubs.
Key Responsibilities will include:
- Reviews incoming demand / sales orders and plans replenishment weekly by running MRP and identifies future needs for assigned products.
- Issues Purchase Orders against existing Long Term Agreements ensuring that the LTA has valid quantities and lead-times meet requirements.
- Communicate to Warehouse on replenishment requests with guidance on freight optimization through either increase or decrease of requested quantity for full container load shipments
- Interacts with Contracting units within WSEC to keep updated that adequate LTA’s are in place. Assist Contracting units by sharing information about supplier’s performance and future needs based on past experience and changes in demand.
- Interacts proactively with stakeholders to gain knowledge of major changes/trends in customer demand to ensure smooth supply for warehouse kit packing operation
- Assist customers in planning and in meeting customer needs.
- Works closely with suppliers to ensure a continuous flow of goods and that lead times are kept and, where necessary, improved. Coordinate with supplier and Warehouse on product quality related issues upon receipt of goods in warehouse
- Performs expediting of Purchase Orders and update the system accordingly.
- Makes sure that LTAs, material master and material availability data is updated and accurate in order to assure correct availability calculation in SAP.
- Prepares periodic reports, and ad-hoc reports as needed.
- Any other duties as requested by the supervisor.

Required:
- Completion of secondary education
- Five years relevant working experience related to procurement/ planning
- Fluency in English
- Valid work permit and residency in Denmark at the time of submitting the application. Note that the selected candidate is responsible for obtaining any required extension of their residency permit as an extension cannot be dependent on an employment with UNICEF.
Desirable:
- Additional certified training related to procurement, planning and/or negotiation skills.
- Work experience with public procurement in an international organization
- Knowledge of SAP (procurement modules) or similar ERP system
- Proficiency in an additional UN language (Russian, Spanish, Chinese, Arabic, French) Particularly fluency in Chinese language will be considered an asset.
