Summary of position:
Under the general supervision of the Counsellor (Political) and the Trade Officer, the Program Assistant provides administrative support to the foreign policy and trade sections by: preparing financial claims, maintaining budget records, processing payments and ordering goods and services; handling written and oral communication with external stakeholders; monitoring and reporting on social medias; coordinating meetings and schedules and assisting with travel plans; assisting with the organization of events; researching information; organizing and maintaining written and electronic records and performing other duties as required.

 

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

Education:
• Successful completion of a university degree in a relevant field or a post-secondary diploma in a relevant field combined with a further 1 year of experience over and above the experience criteria specified below.

Language:
• Fluent in English (oral and written)
• Fluent in Latvian (oral and written)

Experience:
• Minimum 3 years’ recent* experience working in an administrative support capacity.

*Recent is defined as within the last 5 years.

Rated Requirements:
The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

Knowledge:
• Financial and administrative practices and procedures
• Knowledge of office procedures
• Excellent computer skills including MS Outlook, Word, PowerPoint and Excel
• Usage of collaboration software and common videoconference technology

Competencies/Abilities:
• Ability to set priorities, multi-task and manage time/workload effectively;
• Ability to translate and summarize documents (Latvian to English);
• Ability to work under pressure according to deadlines and manage competing priorities;
• Effective communication – oral and written;
• Adaptability, flexibility;
• Attention to detail;
• Interpersonal skills.

 

Asset Qualifications:
Preference may be given to candidates who meet the Asset Qualifications.

• Knowledge of the French language (spoken and written).
• Knowledge of the Russian language (spoken and written).
• Experience working in an Embassy or international organisation
• Experience in composing and publishing social media posts in a professional setting

 

Organizational Needs:

 

Operational Requirements:
• Ability to work occasional overtime (evenings, weekends if necessary)
• Ability to travel and attend offsite meetings
• Willingness to take training

 

Condition(s) of Employment:
• Right to work and live legally in Latvia
• Able to obtain and retain an enhanced reliability clearance
