Closing date for applications: 25-04-2021 at 23:59 UTC+1 / GMT+1 Summary of position: The Program Assistant provides daily administrative support and services for various sections in the Embassy. The incumbent creates and maintains files and standard documents and forms on different systems for clients; assists in the intake process for new employees; maintains records and databases; prepares data for reports; provides support for ongoing program activities; and responds to service requests from internal and external clientele. The Program Assistant may provide additional administrative duties including but not limited to: managing agendas, scheduling and organizing meetings and teleconferences, coordinating travel arrangements; handling financial transactions for the office; and organizing events. The incumbent is highly skilled in Microsoft Office with an expertise in Excel. Essential qualifications: Candidates must demonstrate clearly how they meet the Language, Education and Experience requirements listed below. Language: English Education and Experience: Successful completion of secondary school AND three years of recent experience (within the past five years) providing administrative or financial support in an office environment. OR A Bachelor’s degree or equivalent AND a six months of recent experience (within the past five years) providing administrative or financial support in an office environment. AND • Experience in front-line client service; • Experience with electronic or paper filing systems or electronic database systems; and • Experience using Excel in an academic or professional environment. Asset Qualifications: The ability to work in French. Organizational Needs: – Operational Requirements: Candidates who meet the Language, Education and Experience requirements will be assessed on the following qualifications. The assessment may include: a written test, an interview, an in-basket exercise, and/or a skills test. Knowledge: • Knowledge of general administrative principles, such as electronic filing and organizational procedures, generally accepted meeting, email and telephone etiquette, etc; • Knowledge of and proficiency in Excel. Abilities: • Communicate effectively in English, both oral and written; • Provide advice and information to clients in a professional manner; • Assess and evaluate program budget information and provide reports for management; • Research and compile data; verify documents and information for completeness and accuracy; • Plan daily activities for multiple on-going files and track progress against service standards; • Work with a sense of flexibility and urgency; Personal Suitability: • Sound judgement and discretion; • Initiative; • Interpersonal skills and collegiality; • Attention to detail and organization.
