Department: High Commission of Canada in London, United Kingdom Level: Assistant Classification: LE-05 Location: High Commission of Canada in London Closing date for applications: 09-02-2021 at 23:59 UTC/GMT Summary of position: Provides administrative support duties primarily to the CDLS(L) Counsellor Defence Research and Development and the CDLS(L) Admin officer by: • Provision of program support in managing the portfolio of international collaborative R&D projects with the UK and other European nations • Researching and preparing correspondence, managing the flow of correspondence and maintaining filing systems. • Administrating and tracking expenditures related to travel, hospitality, conferences and memberships as well as maintaining travel and hospitality budgets • Coordinating the social and engagement diaries for the Admin Officer and Counsellor • Coordinating travel for Admin Officer and Counsellor, including obtaining visit approvals from military units and industry in the UK, Europe and Canada. • Preparing claims and requests advances, coordinating itineraries and arranging transportation, accommodation, and submitting travel claims • Organizing and providing support for working and social functions ranging from business meetings to academic events to official receptions to private dinners, etc. This entails seeking proper official approval to spend hospitality funds, determining availability of guests, preparing guest lists, dispatching invitations and supporting working materials, researching and coordinating with caterers and suppliers, and ensuring hospitality claims are prepared and submitted in a timely and efficient manner. • Coordinating high level VIP visits to the UK by preparing itineraries, arranging hotels bookings, organizing meetings and receptions, and provides support for transportation needs on an as and when required basis. Performs other administrative and coordination duties as required. Essential qualifications: Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Education: • A’ Levels or equivalent Language: • Fluent* in English (oral, written, comprehension). * Fluency will be assessed by a variety of means including written assessment and interview. Experience: • Minimum 2 years of experience working in an office environment in an administrative support or program assistant capacity. Rated Requirements The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written or online examination, an oral interview, role-play, practical tests, presentations, psychometric assessment and/or reference checks. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications in their cover letter and CV. • Intermediate French language skills (or higher) • Knowledge of the objectives and priorities of the CDLS program • Experience in working for the Government of Canada in an Administrative position. • Knowledge of classified document handling and transmission • Higher level education i.e. degree level Organizational Needs: • Overtime may be necessary on occasion. • Hours of work will be 37.5 per week, worked Monday to Friday at time to be arranged by the supervisor.
