Program Coordinator

Job Summary

In this role, you will provide financial management, grant compliance, contract management, and project coordination to the Sustainable Cities Program. We require excellent attention to detail, strong time and priority management abilities, good understanding of team dynamics, and interpersonal skills. This is an excellent position for someone seeking to gain experience in financial and project management while developing knowledge in sustainable development issues.

 

Job Responsibilities

Project Management (40% time)

  • Support Program Director and project managers in the development of program workplans, outcomes and deliverables tracking, and reporting.
  • Support Program Director in coordinating with WRI global program and provides close liaison with teams across programs and departments
  • Prepare and execute subgrant and contract agreements and advise project managers on oversight and delivery of subcontracted work
  • Monitor and liaises with partners to ensure the timely and accurate submission of progress and financial reports
  • Keep track of past performance and lessons learned to advise project design and implementation

Financial Management (30% time)

  • Manage program and project budget and advise Program Director and project managers on budget management, monthly financial tracking, expense forecasting and revenue analysis
  • Regularly review, update, and monitor all transactions, commitments, and revenue prospects for all team projects.
  • Process documentation for and support the management of financial obligations and sub agreements (i.e., agreements, contracts, work authorizations, and purchase orders)

Grant Management (20% time)

  • Assist project managers in ensuring compliance with terms and conditions of complex grant and contract agreements
  • Ensure and assist in the timely and accurate submission of grant progress and financial reports, and compliance with any funder requirements
  • Draft grant proposal budgets and assists in the collection & submission of formal proposals packages for fundraising efforts
  • Support the program in tracking opportunities, donor stewardship, and key funder relationships
  • Maintain timely and accurate information on donors, fundraising opportunities and grant management in database software (Salesforce)

Administration & Event & (10% time)

  • Coordinate and schedule team meetings among program teams, and keep minutes as needed
  • Coordinate event logistics for meetings and workshops including venue and catering, participant tracking and travel support, and provide proper documentation and ensure compliance with any grant terms
  • Support communications as needed
  • Coordinate recruitment efforts and manage onboarding of new staff as needed
  • Other administrative duties may be assigned

 

Job Qualifications

  • Master’s Degree, preferable in a relevant field (finance, public administration, management, environmental management etc.) or with demonstrated capacities in core job functions. Bachelor’s degree could be acceptable if the candidate demonstrates strong relevant working experiences and communication ability in English.
  • Minimum 1 year of relevant full-time work experience is required, preferably in financial management, grants or contract management, or nonprofit operations
  • The position requires a detail-oriented, highly organized individual with experience and interest in program management, financial management, budgeting, and contracts
  • Excellent written and oral communication skills in both Chinese and English
  • Must be adaptable to rapidly changing priorities and can manage multiple projects with varying deadlines
  • Strong process orientation with sensitivity to quality, timelines, and organizational systems
  • Ability to work independently with minimal supervision, including proactively identifying problems and working with team members to develop solutions
  • Strong computer skills including high level of comfort with Microsoft Office, databases management and web-based communications; familiarity with advanced budgeting software or project management software is highly desirable
  • Strong ability to work well in a team and with international colleagues
