Macfadden, a PAE company, is seeking Program Management Coordinator (PMC) to support USAID’s Bureau for Humanitarian Assistance (BHA). BHA leads and coordinates the U.S. Government’s humanitarian assistance efforts overseas in response to natural disasters and protracted crises. The bureau also supports early recovery efforts that restore and protect basic systems and services and invests in risk reduction programs that prevent or reduce risks associated with chronic and recurrent hazards. Macfadden serves as an Institutional Support Contractor to USAID, where day-to-day work assignments and oversight are provided by BHA office directors, deputy office directors, or technical leads, with formal supervisory and evaluation functions performed by a Macfadden contract supervisor.
The Program Management Coordinator will be responsible for providing support to the overall G3PC Office within the U.S. Agency for International Development’s Bureau for Humanitarian Assistance, Office of Global Policy, Partnerships, Programs and Communications (USAID/BHA/G3PC).
EDUCATION, EXPERIENCE AND SKILL
Education/Experience:
BA/BS with 1-4 years of overall professional work experience (including internships) OR;
MA/MS with 1-3 years of overall professional work experience (including internships)
Experience in International Studies, Public Administration or related field. Advanced Degree Strongly Preferred.
Experience working in/with USG preferred.
Ability to obtain and maintain a US Government issued Secret clearance for the duration of your employment. One of the requirements for a US Government Secret clearance is US citizenship. Only applicants who currently hold an active Secret or higher level security clearance or who are eligible to receive a Secret security clearance will be considered for this position.
Skills:
- Strong communication, problem solving and customer services skills required in a fast-paced, high pressure environment with multiple deadlines and competing priorities; occasionally exceeding normal business hours.
- Ability to work independently or in a team environment.
- Computer proficiency required to include strong applied knowledge of the MS Office Suite (Word, Outlook, Excel, PowerPoint).

ESSENTIAL FUNCTIONS
- Manage schedule for senior Office management;
- Organize and confirm appointments, manage calendar
- Maintain daily appointment books with detailed meeting information
- Prepare materials for daily schedule

Ensure timeliness of scheduled activities

Maintain daily calendar schedule for the Office, as well as assist with leave calendars;

Manage logistics requirements for the Office;

Provide administrative support to travel requirements of personnel, which includes processing travel authorization requests, preparing requests for country clearances using the electronic filing system required by the Department of State, and assist traveler in completing visa applications or letters; coordinate travel with office travel contractor;

Serve as recorder/note taker at Office, Division or Team level meetings and coordinate with appropriate team;

Manage Office’s and assigned Team’s electronic and hard copy filing systems;

Assist in preparing and developing briefings or briefing books;

As applicable, develop familiarity with portfolio(s) of assigned Team(s);

Maintain G3PC “Representational” calendars for G3PC staff and BHA front office;

Assist G3PC Office leadership with tracking personnel annual evaluation requirements as requested;

Assist with onboarding new Division employees; coordinate logistics requirements for work station, network access, badging requirements, and similar activities;
- Support USAID and G3PC projects and events; assist with organization of representational events;
- Assist with tasker tracking and distribution through the Management and Integration Teams;
- Assist with tracking staffing needs for the Office:
- Coordinate special projects and events with, and in support of, the Office;
- Manage administrative logistics and requirements;
- Serve, as needed, on Washington-based Response Management Teamss, which provide services and support to Disaster Assistance Response Teams deployed in response to disasters. The duties on RMTs will be varied;
- Other responsibilities as assigned.
