The position is located with the Quality Assurance Centre in UNICEF Supply Division. The Quality Assurance Centre has a responsibility towards the realisation of UNICEF’s mission and supports the procurement process by setting and ensuring quality standards across the supply chain. The Centre promotes the efficiency and effectiveness of SD processes and ensures that products and services meet customer and regulatory requirements through the established and coordinated system of controls.
How can you make a difference?
The Quality Assurance Assistant is expected to be a key member of the Supplier Evaluation Unit with responsibility to support bids receipting, registration and management, support various elements surrounding vendor management and monitoring covering procurement and post procurement phases. Under the direct supervision of the Quality Assurance Specialist and the overall supervision of the Chief, Quality Assurance, responsible for screening of all Invitations to Bid and Requestor Proposals sent to suppliers from Supply Division, Copenhagen and New York Supply Centre, and for the opening of returned bids and their tabulation for further processing as well as maintain and safeguard data on Bids and tabulations and provide administrative, analytical support to vendor registration/maintenance and vendor performance.
The incumbent of the position will take on the following key functions, accountabilities and related duties/tasks:
- Maintains bid register; ensures even spread of bid openings.
- Maintains security and confidentiality of all bid responses prior to bid opening.
- Validates incoming quotations. Prepares a tabulation of all offers received indicating comments/clarifications made by bidders during bid openings and records prices/deducts discounts for each item. Additional costs, such as packing, handling charges and freight are also indicated on the tabulation.
- Organizes and conducts bid openings. Where public bid opening is required, records (on digital recorder) and presents all eligible bids. Records visitor attendance.
- Provides the bid folder and tabulation to the Contracting Officer for adjudication.
- Produces monthly statistics on bids issued and annual statistics and present for review in such a manner that KPI objectives can be met.
- Administrative support and back up duties for vendor master maintenance, supplier performance monitoring, UNGM applications, attendance system.
- Any other duties as requested by the supervisor.
To qualify as an advocate for every child you will have…
- Completion of secondary education and commercial office education
- Five years’ experience in an administrative or procurement or accounting function in the field of international procurement
- Proficiency in Microsoft Office Suite, especially MS Excel, PowerPoint and Word
- Ability to use large ERP Systems, eg, ATLAS, SAP, Oracle, etc
- Good Customer Relations and Service Management skills
- Fluency in English
Desirables:
- Formalised training in accounting.
- Proficiency in another UN language (Arabic, Russian, Chinese, Spanish, French)
NB: UNICEF staff members globally and applicants who are EU nationals or in possession of a valid work permit for Denmark are eligible to apply. General Service (GS) staff are personally responsible for any travel and accommodation arrangements and UNICEF will not cover any costs related to relocation.
Note that the selected candidate is responsible for obtaining residence permit and any required extension thereof as such an extension cannot be dependent on an employment with UNICEF. (This does not apply for current UNICEF staff members who are non-EU nationals and recruited internationally as residency will be linked to the position with UNICEF).
