Summary of position:
Under the general supervision of the Management and Consular Services Officer, operates the central telephone switchboard and general email inbox serving all Mission programs. Provides support particularly to the Consular Program by responding to enquiries; by providing concise and accurate information to Consular Program visitors; by offering administrative support to the Consular Officer; by assisting in distributing passports and identifying local contacts as required. Directs specific queries to relevant programs within the mission; answers general enquiries on Canada in English and Amharic; directs outgoing mail for the mission; controls access to the Embassy, ensures that the reception lobby is in good order, and upholds the security policy. May provide general administrative support, as required, to the Management and Consular section, including such tasks as data entry, scanning, filing, and basic internet research; and performs other duties as required.

 

Essential qualifications:
Candidates will initially be screened against the Essential Qualifications relating to education, experience and language. Candidates must clearly demonstrate in their cover letter and CV how they meet each of these essential qualifications.

Education:
• Bachelor’s degree from a recognized university

Language:
• Fluency in English (oral and written)
• Fluency in Amharic (oral and written)

Experience:
• Recent experience* working in an office environment as a receptionist or administrative support.
• Recent experience* providing services directly to clients in person, electronically and by telephone
• Experience with finance administrative duties
• Recent experience* in using computer software/database including Microsoft Office

* Recent experience is defined as a minimum of one (1) year within the last 5 years.

Rated Requirements
The Rated Requirements relating to knowledge, abilities and competencies will also be assessed. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

Asset Qualifications:

• Experience working with a diplomatic mission or international organization
• Fluency in French (oral and written)

Operational Requirements:
• Required to work directly with the public including with Canadians in distress.
• Hours of Work: 37.5 hours per week, 5 days a week

 

Condition(s) of Employment:
• Candidates must have a valid work authorization covering the entire employment period. If the employment is indeterminate, the work authorization should be permanent or itself lead to a permanent work authorization.
• Before an offer of employment can be made, candidates must provide a local address as proof of residence in the specific city, region or country so that if selected, it will appear on the offer letter.
• Obtain and maintain a reliability rating (security clearance) from the Government of Canada covering the entire employment period.
