Job Summary/General Purpose of Job

The Program Associate assists in the design and development of programs, projects and activities of the entity.  Responsible for the implementation of programs and projects under the supervision of the program director or manager. Held accountable for the successful execution of assigned programs/projects.

The Program Associate is solely responsible for managing the registration process of members for both in-person and virtual conferences and events. The Program Associate will assist Meetings Team with event services and logistics for the Section. Annual travel time requirement is 15-20%.

 

Essential Job Functions and Responsibilities (listed in order of importance and/or time spent)

Implements one or more programs or projects, includes participation in program/project planning, and ensuring compliance with ABA policies.

Analyzes project/program performance throughout the process to ensure projects move forward in a productive manner.

Serves as a point of contact for projects. Communicates with member leaders and staff, including reporting on progress and results.

Coordinates with others on joint projects.

Complete daily, weekly, monthly, and final status reports as required for events.

Training and supervising 10 temporary conference staff for 3 large conferences per year.

Prepare and serve as the main point of contact for registration website.

Manage Webinar registration, reporting, and troubleshooting for all programs.

Serve as on-site Registrar, oversee touch-free registration systems.

Attend virtual or in-person Meetings Team collaborative meetings to discuss upcoming events, create task lists, update team on ongoing projects, and support each other as a team.

Assist with meeting logistics and onsite support.

May need to collaborate with external technology vendors to ensure a seamless registration process for members and attendees.

Assist with production of virtual events as part of larger virtual and hybrid conferences, including working with Section Committees to receive presentation materials, conduct virtual session rehearsals, communicate with speakers, and day-of session production.

Vendor procurement and invoice processing, including but not limited to name badges, lanyards, registration booths, etc.

Provide customer service, handle incoming phone calls, process office mail, and email inquiries regarding registration, and other pertinent matters for events.

Manage databases, registration website, and reports as required for all events.

Assistance to Section Director and Associate Section Director, as needed.

Performs other related duties as required.

 

Required Education, Qualifications, Experience

A Bachelor’s degree from four-year College or University is required.

Prior experience working with programs or projects, preferably in an association or non-profit setting.

Analytical problem-solving ability, self-direction, project management, research and writing skills, Outlook calendaring, and meeting coordination experience required.

Proficiency in Microsoft Office Suite is required.

Strong oral and written communication skills are required.

Must be able to provide excellent customer service and be responsive to Section members and event attendees.

Candidate must be comfortable working both independently and as a part of a team.

Proficiency in Cvent is preferred, but not required.

Experience in working at hotels or event services is a plus.

Adobe Cloud experience is preferred.

 

Preferred Education, Qualifications, Experience

Experience, preferably in an association or non-profit setting.  Research, writing experience, and meeting planning experience. Fundraising or grant application experience is a plus.
