Team Assistant [Temporary]


This position is located in the Department of Peace Operations, Office of Rule of Law and Security Institutions, Justice and Corrections Service (JCS). The incumbent reports to the Chief of Service or his/her delegate.

The Department of Peace Operations (DPO) provides political and executive direction to United Nations peacekeeping operations around the world and maintains contact with the Security Council, troop and financial contributors, and parties to the conflict in the implementation of Security Council mandates. The Department works to integrate the efforts of UN, governmental and non governmental entities in the context of peace operations. DPO also provides guidance and support on military, police, mine action and other relevant issues to other UN political and peace-building missions. The Office of Rule of Law and Security Institutions (OROLSI) was established in 2007 to strengthen the links and coordinate the Department’s activities in the areas of police, justice and corrections, mine action and weapons/ammunition management, the disarmament, demobilization and reintegration of ex-combatants and security sector reform.

Responsibilities

Within delegated authority, the Team Assistant will be responsible for the following:

  • Perform a wide range of office management and administrative support functions, including filing; photocopying; maintaining calendar/schedules; processing incoming correspondence and forwarding for action to the appropriate officers; preparing and/or processing administrative requests/documents, such as travel requests and travel claims, visa applications, purchase orders, etc.;
  • Provide secretarial and logistics support to meetings (virtual and in person), including arranging meeting rooms and setting up video conferences, confirming attendance, etc.;
  • Provide support on information and communication technology processes, including Sharepoint, Teams, Inspira and UMOJA;
  • Liaise with the Office of the Assistant Secretary-General for Rule of Law and Security Institutions and other offices as required;
  • Initiate requests for new equipment, as well as Outlook and network accounts for staff, and maintain an inventory of all electronic equipment in the Service;
  • Provide administrative and logistic support for team workshops, trainings and other events;
  • Carry out quality control for outgoing documents, proofread texts for format, grammar, punctuation and style, and review documents for completeness and compliance with relevant rules and procedures prior to submission for final approval and signature;
  • Monitor processes and schedules related to the Service’s outputs, products, tasks, etc.; where applicable, assist with the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant legal, financial and other requirements;
  • Research, compile and organize information and reference materials from various sources for reports, workplans, studies, briefings and meetings;
  • Draft correspondence, meeting minutes, and other documents;
  • Assist with the preparation of presentation materials using appropriate technology/software;
  • Review, record, distribute and/or process mail and other documents, including channeling sensitive material to staff for appropriate follow-up;
  • Update and maintain large distribution lists; monitor, prepare and distribute various materials (where possible using electronic formats); handle arrangements for printing and

translation as necessary;

  • Perform general administrative tasks (e.g., leave and attendance recording, arrangements for meetings and other events, reservations), to include preparing and/or processing administrative requests/documents (e.g., requisitions, purchase orders, expenditure authorizations and visa applications); and
  • Perform other duties as assigned.

Education

High school diploma or equivalent.

Work Experience

At least three years of experience in general office support or related area.

Experience in a front office environment is desirable.

Experience using integrated information management systems, (such as Inspira, Umoja, Unite Docs) or other comparable systems is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of French is desirable. Knowledge of another official United Nations language is desirable.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice

Duration of need: Through 30 September 2021, with a possibility of extension.

This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Staff members are subject to the authority of the Secretary-General and to assignment by him or her. In this context, all staff are expected to move periodically to new functions in their careers in accordance with established rules and procedures.
