The British Embassy in Madrid is part of a world-wide network, representing British political, economic and consular interests overseas and is looking to recruit a Corporate Services Coordination Officer.

The main purpose of the job is to support Corporate Services Manager in providing management support services to the Embassy and the wider Spain Network of Consulates with a focus on accounts, procurement and budget management.

Roles and responsibilities:

  • Support Accounts officer and stand in during absences.
  • Support Procurement officer and stand in during absences.
  • Coordinate the day to date inventory of mobile telephones in the Spain Network, engage with the telephony service provider, and process telephony invoices each month.
  • Complete ad hoc tasks with a high level of attention to detail, including minute taking, contingency planning, business continuity planning, expense claims checking, management of Embassy catering contract, and miscellaneous correspondence.
  • Management of travel, business hospitality, equipment and stationery budgets.
  • Hold a procurement card for low level purchases.

  • Previous experience in office management or assistant roles;
  • Excellent written communication skills with a commitment to communicating clearly and in plain English and Spanish (C1 level);
  • Discretion and trustworthiness: you will often be party of confidential information;
  • Collaboration, Organisational skills and the ability to multitask;
  • The ability to be proactive and take the initiative;
  • A knowledge of Microsoft standard software packages.

This is a full-time and temporary contract to cover for maternity leave. Normal working hours are 37.5 per week.

The successful candidate is subject to a confirmation of a background check, security clearance and the successful completion of a probationary period.

The successful candidate will be enrolled in the Spanish Social Security Scheme and will therefore not be entitled to any gratuity from the Embassy based on gross annual salary.

The Embassy is a Diplomatic Mission with tax exempt status and does not collect taxes for other States. Employees are fully responsible for payment of income tax at the legally required rate. Staff recruited locally by the British Embassy in Spain are subject to terms and conditions of service according to local Spanish employment law.

Visa/work permit requirements: Candidates must currently hold the independent right to live and work in Spain and be prepared to ensure that right remains throughout the scope of the contract. Additional requirements may become necessary after 31st December 2020.
