Main purpose of job:
The Estates Assistant is responsible to the Estates/Health & Safety Manager for organising, maintaining and updating Estates and H&S-related information stored on MS Teams and paper files, including evidence used in support of platform maintenance schedules and Property Compliance Assessments (PCAs) – with the aim to deliver first-class customer service in support of Embassy staff, UK dependents and the Embassy’s wider objectives under the Country Business Plan (CBP) as they relate to Mexico City and its subordinate Posts (Monterrey, Guadalajara, Cancun).
Roles and responsibilities / what will the jobholder be expected to achieve?
To carry out Estates and H&S-related administrative tasks as directed by the B3(L) Estates/H&S Manager or, in his absence, by the responsible A2(L) Maintenance or Accommodation Officer, including:
- Maintaining a comprehensive, up to date schedule for routine maintenance tasks and PCAs required to be carried out for all Estates-related assets;
- Assistance with maintaining an accurate platform Asset Management Register.
Also,
- Supporting arrangements and processes for the arrival/departure of UK staff and their dependents at Post, taking account of customer needs in line with Estates guidance;
- Assisting with responding to general inquiries to the Estates team, as required;
- Carrying out set tasks uploaded to the Estates Planner in an effective and timely manner;
- Searching for quality suppliers that will provide an effective service at a price that represents good value for money;
- Accurately creating Distribution Sets and arranging Estates-related payments, in line with P2P guidance;
- Information management of Estates-related electronic and paper files, in line with the GDPR;
- To provide effective administrative support, as required, to the two A2(L) Estate team leads on Maintenance and Accommodation issues, including by helping to cover in their absence(s);
- Other administrative and operational tasks as may be required.

- Currently studying or recently graduated with a Bachelor’s degree in administration/or similar
- Ability to work as part of a team
- Strong customer service ethic
- Attention to detail
- Good written and verbal communication skills
- Eager to learn
- Advanced level of English and Spanish (both written and spoken)
- Some working experience in maintenance of facilities and equipment
- Project management qualifications/skills
