The British Embassy in Sofia is part of a worldwide network, representing British political, economic and consular interests overseas and is now looking to recruit a Estates Officer to join the Corporate Services Team in Sofia.
Main purpose of job:
Together with the Corporate Services Manager, the Estates Officer is responsible for ensuring that the properties occupied by British Embassy staff are safe and compliant with the FCDO’s health & safety (H&S) standards. The Estates Officer is involved in securing residential accommodation, liaising with contactors, property owners and occupants on resolving maintenance issues, and communication with internal and external stakeholders on topics related to compliance and H&S.
Roles and responsibilities:
- As part of the Corporate Services Teams, responsible for estates and maintenance work, delivered by external contractors.
- Plan and manage the implementation of the FCDO preventive maintenance programme for properties occupied by British Embassy staff; Owner of the Post Compliance report.
- Co-ordinate the delivery of maintenance and repair services, both pre-planned and ad-hoc, with Embassy appointed contractors;
- Support the Fire Safety Manager in meeting the FCDO compliance requirements
- Implement fire safety related recommendations and perform regular checks according to a set schedule.
- Ensure sound understanding of FCDO health & safety policy and implementation of H&S regulations.
- Regular communication with external stakeholders, e.g. property owners, specialist firms and Embassy appointed contractors, as well as internal stakeholders, e.g. property occupants, Technical Works Officer/Technical Works Supervisor, colleagues across different teams, etc.
- Support the Corporate services team with ad hoc tasks.
- Line manager to the Embassy cleaner.
- Fluency in English and Bulgarian languages, both verbal and written ( minimum C1 level according to the Common European Framework of Reference for Languages*);
- Being able to gather and analyse information from a range of sources on topics such as maintenance, H&S requirements and compliance, and transferring the data onto the Embassy’s maintenance programme;
- Strong attention to detail;
- Ability to communicate effectively with diverse stakeholders and having a strong interest in estates and H&S matters;
- Proactive problem solver, focused on finding solutions, willing to support the work of the whole team, and open to taking on different tasks;
- Experience in customer service (external and/or internal) as well as exposure to a multicultural / international environment would be an advantage;
- Experience with Microsoft Office suite- Excel, Word, and PowerPoint;
- Driver’s licence and willingness to drive;
- Experience in managing contractors/external service providers;
- Facility management experience;
- Working with large volumes of documents – filing, organising and archiving them.

This is a full-time temporary position (36 hours per week) of 12 months to cover for a maternity leave.
The successful candidate will receive a monthly salary of BGN 1828.76 gross. In addition, staff are entitled to a 13th month salary pro rata.
Core skills training and mandatory trainings will be provided by the Foreign, Commonwealth and Development Office. All staff have a personal development plan and access to world class learning and development opportunities.
The successful candidate will be subject to confirmation of a background and security clearance. Anyone with right of residence and employment in Bulgaria may apply, including all EU/EEA citizens and the family members of EU/EEA nationals exercising a treaty right in Bulgaria.
Staff recruited locally by the British Embassy are subject to terms and conditions service according to Bulgarian employment law.
Visa/work permit requirements: Candidates must currently hold the independent right to live and work in Bulgaria and be prepared to ensure that right remains throughout the scope of the contract.
