Main purpose of job

Executive Assistant to the Governor (head of post) and policy lead on environmental issues.

Roles and responsibilities / what will the jobholder be expected to achieve?:

  • Manages and maintain His Excellency the Governor’s diary, calendar and schedule of events.
  • Carries out follow up work related to calls or meetings and liaison with Policy Officers where applicable.
  • Ad-hoc record keeping of meetings where applicable.
  • Tracks and follows up on requests from Ministers, Senior Officials and members of the public.
  • Filters general information, queries, phone calls and invitations to H.E the Governor by responsibly redirecting or taking forward such contact as appropriate. Maintaining contacts database.
  • Preparing official correspondence and preparing background material for meetings.
  • Policy lead on environmental issues, including public information campaigns e.g. COP 26, Blue Belt and engagement on UK funded project work in TCI.
  • Leads on British Registration and Naturalization, accepting application and vetting before forwarding on to London to be processed and coordinating swearing in ceremonies.
  • Lead on Biometrics Enrolment in the Governor’s Office (PLS).
  • Lead officer for events, receptions, and visit such as VIP, FCDO and OGD officials.
  • Work along with the Events Committee within the Governor’s Office to organize and plan official events.
  • Lead on securing transport and accommodation bookings for all official visitors when travelling to TCI in accordance with FCDO GEG, where possible.
  • Lead on forwarding laws passed in TCI House of Assembly to London to be reviewed and gazette.
  • Notify TCIG stakeholders of visiting ships and obtain TCICAA & TCIAA approvals for aircraft e.g. US coast Guard and Royal Navy.
  • Secretary to the Mercy Committee.
  • Coordinates travel and accommodation requirements and ensures arrangements are in place for H.E the Governor that matches his requirements.   
  • Keeps and maintains an accurate record of expenditure (i-expenses).
  • Maintains and supports IT infrastructure in the Governor’s Office (PLS) by ensuring that all IT equipment is property secured at close of play.
  • Back-up accountant to Corporate Service Manager.
  • Performs any other policy or administrative duties as determined by H.E the Governor.
  • Support the Head of the Governor’s Office, Executive Director and Policy Manager as determined by them.

Resources managed (staff and expenditure):

Governor’s expenses and CSSF program funds where applicable.

  • A degree and three (3) years relevant experience or
  • Ten (10) years on the job experience without a degree.
  • High level of written and oral communication skills.
  • Customer service and interpersonal skills.
  • Good problem solving skills and ability to use own initiative
  • A team player with good problem solving, time management skills and delivery to deadlines.
  • Experience of providing administrative and logistical support.
  • Ability to work well and have a flexible approach to work whilst under pressure.
  • An extensive knowledge of Microsoft Office Suite. 

Must have the legal status to live and work in Turks and Caicos Islands .

Employees who are not liable to pay local income tax on their Mission salary, eg some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.  

The successful candidate must hold or be able to complete the Foreign, Commonwealth and Development Office (FCDO) Security Clearance process for UK Official-Sensitive clearance.
