Main purpose of job:
As the BDSUS Administrative Assistant (Information Support Officer):
Responsible for the development and implementation of the British Defence Staff – United States (BDSUS) J1 Team communication plan, including pushing information to the BDSUS footprint, exploiting tools such as WordPress website management, SharePoint, Defence Connect and WhatsApp.
Roles and responsibilities / what will the jobholder be expected to achieve?:
- Serve as main management on the BDSUS information website, including creating, maintaining, and editing pages where required.
- Manage and distribute information through use of internal database to a variety of stakeholders.
- Analyse and present relevant data to stakeholders.
- Implement the BDSUS J1 Team communication plan, including pushing information to the BDSUS footprint, exploiting tools such as WordPress, SharePoint, Defence Connect and WhatsApp and PDF Software.
- Lead in developing BDSUS J1 Team SharePoint site and Information Management (IM) capabilities on SharePoint, in line with current Ministry of Defence (MOD) policy.
- Liaise with the Information Hub (iHub) to ensure BDSUS J1 Team members have the correct user privileges and access to the team file system.
- Advise on, and be responsible for, the BDSUS J1 Team file plan to achieve business requirements including creating, maintaining and deleting team shared drive folders where required.
- Manage document and record holdings including storing and applying metadata to documents.
- Contribute to the development of a Continuous Improvement (CI) culture in the BDSUS J1 Team by providing advice on collaborative tools and directing their use in team Information Management (IM).
- Manage The J1 Contact List
- Providing extra resilience to BDSUS J1 Support Officer desks when required.
- Support wider Embassy and Defence Staff cross-functional initiatives.
Essential on arrival:
- Relevant work experience or IT based qualifications.
- Ability to work with databases and software.
- Excellent oral and written communication skills.
- Excellent time management skills.
- Ability to multi task with strong organisational skills.
- Ability to handle confidential employee issues/information and dealing with employees in a friendly and sensitive manner.
- Must be able to work independently and as a part of team.
- Proficient in all MS Office 365 applications, specifically Word, Excel and PowerPoint.
Desirable:
- Knowledge and experience of working with PDFs.
- Knowledge and experience of MS SharePoint.
- Knowledge and experience of Web Design/Management.

Learning and development opportunities (and any specific training courses to be completed):
On taking up post you must complete Data Protection training which is mandated for this post. You will receive in house training on defence computer systems as required. The learning and development opportunities, including through formal training courses, are excellent.
Any other information (or specific local Post requirements):
Due to the impact of the pandemic many BDSUS personnel are working from home for at least part of the week. This post may also do so although the longer term goal is to return to office based work.
