Main purpose of job:
The Executive Assistant to the Defence Adviser provides support to the Defence Adviser and Assistant Defence Adviser.
Roles and responsibilities / what will the jobholder be expected to achieve?:
- Provide support and assistance to Defence Adviser to strengthen and develop bilateral defence relationships in Malaysia.
- Provide administrative support to the Defence Adviser, including: preparation/drafting of emails, letters, presentations; handling of sensitive material – including classified material and personnel reports; maintaining a hospitality book/gift register; assist with the organisation of the annual Remembrance Service and other activities/ projects as required.
- Maintain and organise the Defence Section diary and arrange appointments on behalf of the DA. Ensure the Driver is updated daily on the programme for the Defence Section and in particular the DA.
- Arrange internal and external visits on behalf of the Defence Section; book hotels, accommodation and hire cars. Issue and process invitations for official functions and confirm attendance.

Defence Section driver.
Essential on arrival:
- Ability to work unsupervised using own initiative.
- Good IT skills and proficient in Microsoft Office applications

- Excellent written and spoken English with the ability to communicate and influence at all levels.

Language requirements:
- Bahasa Malaysia would be advantageous but not essential

Monday – Thursday 0830- 1630hrs
Friday 0830 – 1330hrs
Flexible with working from home options available with agreement from line manager. Individual must remain flexible during high tempo periods
Employees who are not liable to pay local income tax on their Mission salary may have their salaries reduced by the equivalent local income tax amount.
