Main purpose of job:

Provide support to front desk, to corporate services team and general administrative duties.

Roles and responsibilities? What will the jobholder be expected to achieve?

  • Operate the Embassy switchboard and transfer calls accordingly.
  • Deal with general enquiries from customers (in person, over the telephone or by e-mail).
  • Deal with official visitors at Reception.
  • RSVP for events.
  • Translation of documents.
  • Request and distribution of business cards for the Network staff.
  • Purchase, control and organization of stationery.
  • Requisition of purchase orders.
  • Receipt of invoices and initiation of payment process on the system.
  • Update telephone lists.
  • Update emergency contacts list.
  • Distribution of mail.
  • General administrative duties.
  • Carry out other ad hoc duties as necessary.

  • University level educational/degree or ongoing studies.
  • He/she should ideally have experience in working for a medium to large organisation in customer service activities.
  • He/she should possess an excellent command of written and spoken English and Portuguese. 
  • He/she should have strong organisational, communication, customer service, team-working and IT skills.

  • Previous experience in working for a diplomatic mission is an advantage.
