Main purpose of job:
To work as part of the Regional Procurement Team in Manila handling procurement requirements for Asia Pacific, Middle East & North Africa regions. Working with customers, suppliers and other stakeholders on all aspects of Procurement delivery, review, monitoring and reporting. Assist the Regional Procurement Head and Regional Procurement Manager in the day-to-day procurement administration duties.
This position is based in Manila as part of the overall Regional Corporate Services Hub. Working hours will reflect the customer needs across the regions.
Roles and responsibilities / what will the jobholder be expected to achieve?:
Assist in the delivery of Procurement Projects
- Creation of project on Bravo / Contracts Database and Tracker. Liaise with Procurement Lead (PL) on planning/timetabling of requirement. Liaise with London delivery team where necessary.
- Proof read and Edit: Review all tender documentation for consistency, spelling and grammar and get sign off from PL. Manage the technical and commercial clarification questions from the bidders. Maintain question log, co-ordinate answers and disseminate to bidders.
- Receipt of tenders – when offline process is followed. Maintain a receipt log and manage opening log.
- Compliance checks to ensure envelopes are complete. Facilitate tender evaluation and arrange teleconference/video conference (booking facilities and sending out invitations) for the moderation meeting. Take notes of decisions made.
- Drafting of outcome letters (award and reject).
- Management of award activities, including changing status in Bravo.
- Where necessary work with PL in drafting lessons learnt papers for review.
Data Analysis
- Provide procurement reporting /analysis services to the following procurement hubs: APAC, MENAD, SAAD, Africa, EECAD.
- Manage and keep up to date hub reporting tools (these reports can be listed).
- Schedule reporting periods and deliver up to date reports on time.
- Respond to colleague’s requirements for ad hoc reporting where required.
Supplier Optimisation and Agreed Supplier Lists
- Assist where required in the production and refinement of the Agreed Supplier Lists for APAC, MENAD, SAAD, Africa, EECAD hubs.
- Manage and update the Agreed Supplier Lists for APAC and MENAD.
- At least 2 years hands-on procurment experience
- Strong emphasis on accuracy and detail
- Effective oral and written communication skills
- Strong attention to detail
- Ability to handle multiple projects simultaneously to meet goals and deadlines
- Proficient in MS Excel
- Good time management and organizational skills
- BS degree in business management/finance related course or equivalent experience
- Working in a multinational environment across multiple time zones
- Sourcing or Contract Management Experience
- CIPS Level 3 or equivalent qualification from other Professional Procurement Organisations
- Project Management Experience

Due to the geographical spread of the customer base, the job holder will need to maintain a fairly rigid working pattern so that customers know when they are available, however a certain level of flexibility around start and finish time may be possible upon prior agreement with the Line Manager
