Residence Coordinator

The British Embassy in Vienna is part of a network, representing British interests overseas. We are looking for a Project Officer to coordinate works and act as a liaison point for the UK Estates Teams on all preparation works for a large refurbishment project. This involves some office moves, packing and storage coordination as well as Residence staff accommodation liaison and acting as the contact point for local contractors. The position will work to the Head of Corporate Services team to ensure the preparation works are complete for the start of the Refurbishment Project at the end of February 2022.

Main Duties and Responsibilities

Office Moves: put together timeframes and deadlines for office moves. Assist with the FM requirements with the FM provider by logging work orders as required. Shredding or coordinating disposal of additional material and ensuring affected parties take responsibility for equipment they need. Reception changes and other works as required. (approximate 45% of time)

Packing and Storage: assisting ESD by looking at what furniture from the Residence needs to be stored or can be relocated and coordinating quotes with local packing and storage companies including internal Government art work as directed by UK team. Assistance with disposal as required. (approximate 15% of time)

Contractor coordination: passing information between local suppliers and contractors such as Wien Energy locally. Assisting with contractor visits to Vienna from the UK with logistics and meeting coordination.(approximate 15% of time)

Housing: advising and coordinating housing provision e.g. new flats for Residence staff according to company policy and budget guidelines.(approximate 10% of time)

Other admin: updating project timetables and processing costs according to internal policy.(approximate 15% of time)

  • Strong communication and organisational skills will be essential to succeed in this role.

  • Experience of delivering similar office projects or projects requiring similar skill sets is highly desirable.

This is a country based staff position in the British Embassy Vienna; it is not a diplomatic designated position. The position is subject to the terms and conditions of British Embassy employees.

This is a part-time temporary position till 31 March 2022 of 21 hours or 3 working days per week. Working hours are flexible and staff are entitled to time-off-in-lieu for extra hours worked. The Embassy supports flexible working and weekly hours can be spread across the year provided operational requirements are met. The annual leave entitlement per year is pro rated and the Embassy also enjoys 14 Austrian / UK public holidays per year and we are committed to ensuring a work / life balance.

The successful candidate will be subject to confirmation of a background check and security clearance. It is the applicant’s responsibility to ensure they are legally able to work in Austria. The Embassy is not able to assist with any visa or sponsorship arrangements.

The monthly salary will be € 1916.40 gross, payable 14 times a year. Please note that UK nationals will receive their salary net, minus the deduction of an equivalent level of Austrian (UK) tax retained at source. Further information on this will be given to candidates during the recruitment process. All other nationals will receive paid their salary minus social insurance deductions and are expected to comply with Austrian tax obligations through completion of a tax return to the Austrian authorities.

Staff recruited locally by the British Embassy are subject to terms and conditions service according to Austrian employment law.
