Residence Coordinator

Please note: This is a fixed term position for 12 months.
Main purpose of job:
To run the official residence of the British Ambassador to Nepal to a high standard, working closely with the Ambassador’s household staff, her personal assistant and members of the Embassy. The job holder will also be the Event Manager for official Embassy events and will plan and manage Embassy events on behalf of a variety of teams.
Roles and responsibilities:
Residence Management
- Ensure successful day-to-day operation of the Residence to a high standard.
- Ensure visitors are professionally cared for during their stay, including Health & Safety requirements are met (with advice from the Corporate Service team).
- Ensure that the Residence and garden are well kept at all times in liaison with Facilities Management, and overseeing Residence maintenance issues in liaison with Technical Works team
- To be responsible for the Residence official furnishings/inventory, GAC and budget.
- To be responsible for furniture procurement and roll over plans as per FCDO furniture policies.
Events Management
- Plan and manage embassy events in coordination on behalf of staff and/or teams across the Embassy.
- Ensure events at the Residence or Sterling Club are delivered to a high standard.
- Manage event budgets and staffing charge it to necessary code (programme, PAG etc)
- Work and negotiate effectively with external clients and contractors (working with HMA’s PA).
- Manage logistics for physical or virtual events, working closely with the policy lead and the comms team.
- Ensure procurement of services for the events are as per the FCDO procurement policy.
Staff Management
- Manage, oversee and give direction to the residence team; to ensure the team pursue their personal development; to support staff during periods of change and look after team wellbeing.
- Residence team’s duties include: supporting all official entertainment; meal and catering planning, cooking and service; cleaning and laundry; preparing for and looking after guests; stock control; administration and budgeting tasks.
- First-point of contact for outsourced personnel.
Operational Management
- Continuously review operations to identify better ways of working to secure best value for money and resource savings.
- Work closely with the Estates and Security Managers and their team over security/maintenance issues.
Financial Management
- To manage Residence income and expenditure, ensuring full compliance with FCDO financial rules and ensure value for money.
- To plan, profile and track expenditure per the forecasted budget for the Residence including costs of official entertainment, procurement of goods, uniforms for staff, wine/drink stocks, etc.
- To be responsible for stores and inventory management including food, drink, furniture and other household effects.
Back up staff for Residential Officer
Resources managed (staff and expenditure):
Up to 5 staff- a mixture of in house and contract staff Residence staff (Chef, Head Steward, Steward/Cleaner, Laundry Attendant). Many more for events.
Language requirements:
Language: English (Spoken and Written: Fluent), Local language desirable
- Proven staff management and delivering through a team.
- Computer literate – Word, Outlook (email) and Excel.
- Working visa, if not Nepali , or have the status to work in Nepal.
Bachelor in Hotel Management or any equivalent
Prior work experience in catering / hospitality industries for at least two years
Leading and Communicating, Collaborating and Partnering, Managing a Quality Service, Delivering at Pace
