Our work covers the breadth of the bilateral relationship, including political, commercial, security and economic issues of interest to both the UK and Poland, which we deliver under the framework of a Country Strategy setting out key objectives. The British Embassy in Poland is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking to recruit a Residence and Events Manager.
The British Residence and Embassy host events throughout the year to promote the UK and deliver cooperation with Poland in areas such as security, prosperity, and people-to-people links. As Residence and Events Manager, you are responsible for the successful delivery of events, for running the Residence, and ensuring that our guests feel welcomed and valued.
You will split your time between the Embassy and Ambassador’s Residence (minimum 2 days per week in each location). You will be a full member of the Embassy team, working closely with colleagues across the Embassy. You will be responsible for ensuring the Residence team are fully plugged in. We are looking for enthusiasm, flexibility, creativity and a strong team player.
Main Duties an Responsibilities:
- Delivering a regular drumbeat of high quality events at the Residence, the Embassy and other senior staff’s homes that promote the UK, help deliver Embassy objectives and increase our influence and engagement with people from across Polish society;
- Running the Ambassador’s residence, and leading the Residence team. This will include managing the estate, managing the Residence team, managing the Residence budget, ensuring the Residence and events comply with health and safety and other legal requirements;
- Working with the Ambassador, their private office and the senior team to ensure the Embassy knows and is known across Polish society, helping them develop and maintain contacts, including by developing and maintaining contact databases;
- The work will include leading on set-piece events such as the Queen’s Birthday Party (mid-June), annual Christmas party, ministerial receptions and a wide range of dinners, receptions, seminars and conferences;
- You will be a key member of the British Embassy team and we pride ourselves on being a friendly and inclusive place to work. - The role will include some evening working. On rare occasions it my include weekend working.
- Fluency in Polish and English (both oral and written, minimum C1 level*);
- University graduate or equivalent;
- Min 3 years’ experience in a similar role;
- Confidence in dealing with senior contacts and colleagues, and in handling customers;
- Strong interpersonal and communication skills;
- Proven leadership skills with ability to manage, motivate and coordinate the work of a team;
- Ability to work at pace, independently and as part of a team, and to use initiative;
- Proven organisational and administrative skills;
- Good time management skills and ability to deal effectively with multiple tasks in a fast-paced environment;
- Good IT skills (especially Word, Teams, Excel, Outlook and PowerPoint).
- Experience in an international organisation or foreign mission;
- Fast thinker and a good decision maker;
- Flexibility and ability to deliver results under pressure in a challenging, dynamic environment.

This is a full-time fixed-term position of 5 days (37.5 net per week) for 2 years with the possibility of renewal by mutual agreement.
The gross salary for this position is PLN 8,462 gross per month. Working hours are flexible and staff are entitled to time-off-in-lieu for agreed extra hours worked. The annual leave entitlement is 20 or 26 days per year pro rata and the Embassy also enjoys a maximum of 14 Polish / UK public holidays per year.
Please note that staff members are responsible for paying any income tax required by the local law.
The successful candidate will be subject to the Polish references check and satisfactory completion of a probationary period of three months.
Candidates must have pre-existing right to live and work in Poland for the duration of the job offer in order to apply. The British Embassy does not sponsor work permits.
Staff recruited locally by the British Embassy in Warsaw are subject to Terms and Conditions of Service according to Polish employment law.
Visa / Passport requirements:
Candidates must currently hold the independent right to live and work in Poland and be prepared to ensure that right remains throughout the scope of the contract. Please note that it is your responsibility to ensure you meet the legal requirements to live and work in this country.
Working patterns
BE Warsaw has a strong commitment to work/life balance. Office hours are 8:30 – 16:30, staff are encouraged to leave on time. Flexi-hours are also possible within the Embassy building’s opening hours (0800-1800).
We have mobile technology and most staff in the team work from home one day a week in normal circumstances.
This job requires flexibility, given that there is requirement to work some evenings and rare occasions at the weekend. Flexible working pattern can be agreed with line manager. It is necessary to split your week between two locations: the Residence and the Embassy.
