Main purpose of job:
The British Embassy in Bamako is part of a worldwide network representing British political, economic and consular interests overseas. The British Embassy is fairly new – established in 2015 – but with a strong aid portfolio and political interest in Mali. The Corporate Services (Transport and Logistics) Assistant role will help ensure the Embassy platform performs to the highest level managing and maintaining the transport fleet and overseeing vital supplies and services for the Embassy.
Roles and responsibilities:
Transport Management
- Managing the Embassy car pool and Embassy car bookings, prioritising requests from Embassy officials and visitors and assigning tasks to drivers.
- Managing rostering of pool of Embassy drivers, ensuring punctuality and that high customer service standards are met
- Managing fuel cards for Embassy cars, accompanying drivers to top up fuel in order to ensure compliance with refuelling procedure.
- Overseeing routine and urgent maintenance of vehicles. Devising a maintenance schedule and working with local garages to ensure proactive maintenance is completed in a timely and proper manner in order to ensure minimum down time of Embassy vehicles.
- Ensuring that daily roadworthiness checks of Embassy vehicles is completed in a timely and effective manner. Responsibility for ensuring that the Foreign and Commonwealth Office and Embassy Transport Policy is complied with at all times.
- Ensuring that vehicle journey logs are completed, analysing journey logs to determine usage, and scheduling challenges. Preparing time sheets for drivers to ensure correct salary payments are made.
- Assisting with procurement of spare parts and tyres and maintaining stores’ records and an inventory of Embassy assets.
- Diplomatic shipment handling (vehicles, diplomatic mail etc), liaison with the Ministry of Foreign Affairs (protocol) and Custom Offices (airport and borders) regarding diplomatic tax exemption procedures
- Liaise with third party logistics suppliers for delivery of Foreign & Commonwealth shipments and services
- Assist in Transport & Logistics budget forecasting
- Further tasks as and when required in support of the Corporate Services team and wider Embassy as a whole.
Resources managed (staff and expenditure):
- 5 x Drivers
- Good track record of delivering excellent standards of customer care.
- Strong experience of managing suppliers.
- Excellent time management, self-starter skills and an ability to work under pressure.
- Previous experience in working both as part of a team and unsupervised.
- Fluent English and French (written as well as spoken).
- IT skills to include experience of Microsoft Word, Excel and Outlook.
- Good organisational skills, accuracy and an attention to detail.
- An ability to forward plan and coordinate activity among a range of stakeholders.
- A clean current driving licence and recent experience of driving in Mali.
- Recent line management experience.

Learning and development opportunities:
The British Embassy is a small but friendly and supportive working environment. Colleagues regularly benefit from learning and development opportunities in Mali and there will be the opportunity to travel regionally for training.
Working patterns:
Working hours are from 8:00 am to 16:30 pm Monday to Thursday and 8:00 am to 12:30 pm on Fridays. A 35.5 hour week including lunch break. Annual leave is 25 days in addition to 14 public holidays annually.
