Main purpose of job

Responsible for managing, maintaining and implementing the High Commission’s transport fleet and its policies to ensure it is line with FCDO guidance and compliant with safety, legal and regulatory requirements.  Responsible for procuring goods and services in a timely manner in line with Value for Money (VFM) policy and ensuring that all procurement of goods and services adhere to FCDO policy and guidelines.

Roles and responsibilities

Transport: 50%

·       Be the lead official driver for the British High Commissioner and ensure that the HC is taken to official events and meetings in a timely and safe manner, in a flag car that is clean and representative of the High Commission’s image and standards.

·       Mantain fleet (cars, bicycles and trailer) to a high standard including, but not limited to, cleaning, arranging regular servicing, inspections and daily checks of tyre pressures and all oil and fluid levels and taking prompt action to remedy any defects found.

·       Manage transport requests to ensure all official journeys are fulfilled in a timely manner and meet customer expectation.

·       Responsible for providing/mantaining an up-to-date list of vetted taxi services as alternate transport option.

·       Ensuring that the current transport policy is upheld by all staff.

·       Ensure fleet documentations such as insurance, registration and licenses are renewed when due and facilitating these processes for UK-based private vehicles

·       Manage budget for official vehicles and ensure VFM by exploring the best options for sourcing, within budget, of fuel, insurance, servicing, parts, etc.

·       Ensure all authorised drivers of official vehicles are properly trained to High Commission driving standards and competent to operate relevant vehicles and equipment.

·       Ensure a log of all journeys and all required records are accurate and kept for the required period.

·       Lead on transportation arrangements for official visitor programmes, including route, timing and safety planning.

·       Responsible for accident report procedures, including requesting letters from Police, completing accident forms, keeping records of any accidents and arranging repairs.

·       Responsible for purchase of replacement vehicles and spare parts and manage sale or disposal of old vehicles.

Corporate Services: 50%

·       Lead on procurement of goods and services, ensuring that specifications are developed in conjunction with the budget holder, timescales, Purchasing (P2P) and VFM guidelines. 

·       Understand FCDO procurement policy and ensure processes are adhered to, procurement is completed in a timely manner and procurement issues are resolved.

·       Be main point of contact for all incoming and outgoing mail, ensuring that all mail is routed appropriately.

·       Lead on the Crisis Managment Plan (CMP), including keeping information current, liasing with NEMO and other local government offices and organisations, and arranging staff crisis exercises.

·       Maintain stationery, vehicle parts, cleaning supplies, and bottled water stocks – monitoring stock levels and re-ordering as necessary.

·       Maintain an up to date list of post’s service providers.

·       Manage transport, stationery, cleaning supply budgets – including forecasting monthly expenses and annual projections.

·       Line Manage 2 x S3 Cleaners

Undertake any other relevant duties, as required

  • Ability to work in a demanding environment
  • Good communication  and organisational skills 
  • Possess a full clean valid driving licence for vehicles in categories  A (Private), B (All goods), B3 (Driving with trailer), for both Manual and Automatic transmission
  • Good knowledge of the major roads and towns in Belize
  • Basic knowledge of IT e.g. using Microsoft Office and internet based applications

Must have the legal status to live and work in Belize.

  • 10 years driving experience
  • Experience in driving VIPs and using Defensive driving techniques
  • Formal training as an official driver
  • A working knowledge of Spanish
