Main purpose of job:

The Visits Center at the British Embassy are seeking to recruit an experienced administrator to support the British Defence Staff United States.

The Department is responsible for processing all Foreign Visit Requests from UK Government personnel to gain access into the US Government sites, throughout the 50 states

Roles and responsibilities / what will the jobholder be expected to achieve?:

• Facilitate accurate input of visits data in the DoD’s Foreign Visits System database. Full training will be given

• Liaise with DoD’s Foreign Disclosure, Secure Policy Automated Network (SPAN) Personnel & BDS Desk Officers providing excellent quality customer service & resolve problems relating to visits. 

 •Scrutinize the information & determine the appropriate DoD service which has disclosure authority for the subject matter of the visit. Aim to ensure that 80% of all issues are resolved without visit being rejected. To facilitate large-scale UK/US interoperability exercises prior to operational deployment.

• Act as Visit Team lead on reporting issues to SPAN with regard to Foreign Visits Service (FVS)  – report issues to SPAN and then report answers back to BDS colleagues and customers. 

• Review status updates on visits which are generated twice daily from SPAN and routinely provide statistics and status information from FVS to help visitors and BDS US Sponsors. 

• Obtain Pentagon Passes for authorised BDS & FCO personnel within 8 weeks of assignment date

• Act as Visit Team POC for creation of the electronic 1907 visits form.

Essential on arrival:  

  • Applicants should have more than 5 years’ experience in an office-based environment.
  • This position requires excellent communication skills both verbally and written, accurate typing/audio skills and an excellent knowledge of all Microsoft packages is necessary.
  • The role involves general duties of everyday administration, you will be part of a team of three, answering the phone, creating strong relationships with the wider Embassy teams and US counterparts
  • You must have the ability to prioritise and organise own workload and meet deadlines whilst working within a team, develop and maintain good working relationships with clients, colleagues, insurers and other suppliers.

Under US State Department requirements, the UK Government in the US may only employ, as non-diplomatic staff, persons who are US citizens, US Permanent Residents or A visa holders with EAD cards*. *A visas are acceptable at the Embassy and Consulates. The UK Mission to the UN (UKMIS) accepts G visas, and British Defense Staff (BDS) outposts accept A or NATO visas.
