FUNCTIONS AND RESPONSIBILITIES

GENERAL FUNCTIONS

· The Finance and Administration Officer assists the Operations officer to ensure that the office is managed effectively and according to internal procedures and regulations

SPECIFIC FUNCTIONS

Coordination

· Coordinate with the branch staff for finance and administrative support tasks

· Coordinate with Logistics and Admin Officer for logistic support and purchases

· Coordinate with Accountant for project finances

Finance

· Receive the request for cash advances and disbursements

· Check cash advance liquidation and reimbursements

· Manage petty cash transactions

· Close the cash account every week: physical counting, printing of accounting documents, check supporting documents

Administrative

· Assist with archiving hard copies and soft copies of all employees and service providers

· Oversee office and operations small purchases

· Assist with inventory of office and project equipment

· Payment of bills

Operations support

A. Documentation

· Oversee the archiving of completed documents

· Complete the statement of income from cash collection

B. Equipment

· Ensure the field officers have complete equipment; request equipment purchase as required and ensure purchase

C. Cash collection

· Receive remittances from cash collectors

· Ensure reconciliation of collection between physical counting and theoretical balances

· Regular cash deposit of remittances on the bank account

Activity reporting

· Attend regular meetings

· Report on accomplishments to the Operations officer

REQUIREMENTS

· English written and spoken; Tagalog

· Computer literacy and effective abilities in Word, Excel, PowerPoint

· Strong integrity

· Well organized

· An understanding of the non-profit sector

· Good interpersonal skills and efficient communication

· Ability to work independently or as part of a team on multiple tasks

· Degree in Business or Accounting required or equivalent in experience
