Budget & Admin Assistant

Minimum age: 25 years old. Nationals of the country of assignment are not eligible, except the assignments in Headquarters duty stations.

Under the direct supervision of Chief Life Support Section and Administrative Officer, the UN Volunteer will undertake the following tasks:

  • Maintain accurate logs for the registration and distribution of all incoming and outgoing mail and ensuring timely receipt of correspondence by addressees;

  • Establish and maintain filing system in respect of all correspondence;

  • Prepare correspondence, memos and email as way of providing support to the heads of the Section units;

  • Assist in the preparation of Budget for the Life Support Section;

  • Assist in the preparation of financial performance report;

  • Responsible for consolidating the Section’s acquisition plan as well as quarterly updates;

  • Responsible for creating shopping carts and earmarked funds;

  • Responsible for invoice processing;

  • Monitoring of service contracts for advertisement in local newspapers;

  • Assist in the recruitment of Individual Contractors and maintenance of their monthly attendance sheet;

  • Assist in consolidating e-performance and contact extension for staff as the end of the contract period;

  • Maintaining a database of all staff within the section;

  • When working with national staff or (non-)governmental counterparts, including Implementing Partners (IPs), the incumbent is strongly encouraged to set aside dedicated time for capacity development through coaching, mentoring and formal and on-the-job training;

  • Any other related duties as may be required.


Bachelor degree or equivalent


Certification/diploma or other supplemental academic qualifications or training in Business Administration, Information Technology, Statistics, Mathematics or other relevant field is desirable.

At least 3 years of progressively responsible experience in international organization is desirable. Previous working experience in data analysis, database management or accounting/budget is highly desirable.

The incumbent must be a dynamic, multi-functional person, who supports MONUSCO with professionalism, dedication and client orientation and has affinity with or interest in humanitarian relief, post-conflict situations, volunteerism as a mechanism for durable development, and the UN System.

Driving license required: Yes

Computer skills: Proficient in various MS office applications (Excel, Word, PowerPoint) and the ability to generate ad hoc electronic documents, spreadsheets and databases.
