Summary of position:
Under the supervision of the Mission Administration Officer, the incumbent manages incoming calls to the mission, provides general information to visitors on the Consular, Visa, Immigration or other program; controls physical access to the Chancery and provides a front line security system. The incumbent is accountable for the provision of administrative support services of mission specific common services and the coordination of regionalized common services requests from the mission to the Common Services Delivery Point (CSDP). The incumbent is also responsible for the provision of documents, information and a variety of administrative services in support of more than one of the following areas: finance, human resources, materiel management, procurement, contracting, property and facilities management processes; and performs other duties.


Essential qualifications:
Education:
• Degree from university, OR an acceptable equivalent through the combination of education and work experience

Language:
• Proficiency in English (reading, writing, listening, speaking)
• Proficiency in Mandarin (reading, writing, listening, speaking)

Experience:
• Minimum 1 year experience in dealing with the public and customer/client service
• Minimum 1 year experience in performing general administrative duties

Knowledge:
• Knowledge of international business
• MS Office Tools, including Outlook, Word, Excel and PowerPoint

Abilities/skills:
• Ability to write effective business correspondence in English and Chinese
• Ability to research, interpret sources of information and synthesize data to respond to requests for information from clients
• Ability to perform translation and interpretation from English to Chinese and vice versa

Operational Requirements:
• Ability and willingness to work overtime on short notice as required
• Able to travel domestically and internationally as required


Condition(s) of Employment:
• Ability to obtain and maintain a valid working authorization in China. Per Chinese regulations, the Embassy / Consulates can only facilitate working visas for Canadian citizens
• Ability to obtain and maintain a valid “Reliability Status” security clearance


Area of selection:
This position is open to external applicants residing in China and employees occupying an indeterminate or term position in China Missions who meet all of the essential qualifications and whose applications are received by the closing date. Short-listed candidates should be able to participate in tests and/or interviews in Chongqing at own expense. The successful candidate will be required to relocate to Chongqing at own expense.
