Summary of position:
The position is an administrative support level position of the Common Services Program.

Provides advice and information to internal and external clients based on the use or adaptation of standard rules, practices and procedures pertaining to various types of requests and recommends changes on procedures and practices to improve effectiveness, efficiency and cost-effectiveness; prepares standard documents and forms on different systems for different recipients; creates paper and/or electronic files; maintains records/data, files, lists databases and statistics; researches and compiles data, verifies documents and information for completeness/accuracy and identifies and resolves discrepancies; maintains a network of operational contacts; responds to routine enquiries for documentation or information related to area(s) of responsibility from internal or external clients; coordinates meetings, events, schedules or travel; perform other duties as required.

 

Essential qualifications:
Education:
• Minimum Bachelor’s degree from a recognized university, OR an acceptable equivalent through the combination of education and work experience

Language:
• Proficiency in English (reading, writing, listening, speaking)
• Proficiency in Mandarin (reading, writing, listening, speaking)

Experience:
• Minimum 1 year’s recent experience (within last 3 years) in each of the following areas:
o Experience in the full range of office administration
o Experience in providing client service
o Experience in working in a team environment

Knowledge:
• Knowledge of Microsoft Office Tools, including Outlook, Word, Excel and PowerPoint
• Knowledge of general office procedure and practices
• General knowledge of financial or budget management

Abilities/skills:
• Ability to write effective business correspondence, reports and letters in English and Chinese
• Ability to plan and organize workflow and to coordinate information
• Ability to perform translation and interpretation from English to Chinese and vice versa

Operational Requirements:
• Ability and willingness to work overtime on short notice, as required
• Able to travel as required

 

Condition(s) of Employment:
• Ability to obtain and maintain a valid working authorization in China. The Embassy / Consulates can only facilitate working visas for Canadian citizens
• Ability to obtain and maintain a valid “Reliability Status” security clearance

 

Area of selection:
This position is open to external applicants residing in China and employees occupying an indeterminate or term position in China Missions who meet all of the essential qualifications and whose applications are received by the closing date. Short-listed candidates should be able to participate in tests and/or interview in Shanghai at own expense. The successful candidate will be required to relocate to Shanghai at their own expense.
