Job Summary

The Copy Editor is expected to assist with the structure, organization, grammar, spelling, and style of all reports prepared for a Third-Party Monitoring contract for a Community-Based Agriculture and Rural Development project. The core objective of this role is to help the project team (native English speakers and non-native speakers) deliver clear, coherent writing to the intended audience. The selected Copy Editor will be required to adhere to strict turn-around times and punctual in response to tight deadlines.

Specific responsibilities:

§ Review the structure and content of the reports, suggest revisions and additions to provide a concise yet comprehensive coverage of the subject.

§ Identify instances when material might be more appropriately situated in an appendix to the core report to enhance the overall readability of the report and consistency in the level of detail presented. These decisions should be informed by consideration of the target audience for the given report.

§ Edit language to ensure that the writing aligns with the standard conventions of grammar and spelling for American English.

§ Check whether each section expresses the author’s meaning clearly, without gaps, contradictions, or excessive repetition. Among other tasks, this will involve looking at the author’s choice of words and abbreviations, and checking the text against the relevant tables and illustrations (as well as their captions).

§ Suggest improvements / rewrite and rearrange the material. When applicable, weave together the narrative throughout entire sections / paragraphs to enhance the coherency of the reports and improve their readability.

§ Checking for internal consistency with regard to spelling and formatting, as well as consistency with ATR’s style standards.

§ Utilize Microsoft Word’s built in formatting functions to expedite / automate the process of bringing the document in line with ATR’s style guide. Formatting functions of note include font style (pre-coding the font, size, color, etc. for different levels of headings), captions (linked to each particular table, chart, or figure, with numbers that automatically update), table of contents or charts / figures / etc. (drawing automatically from the headings or captions), and internal cross-references (providing an automatic link to the relevant section of the text). Even with the automated processes, instances of these functions should be checked prior to submission of the final report.

§ Help the project team to properly cite its references and assist with legal considerations related to copyrights and plagiarism, suggesting alternative solutions as necessary.

§ Create / update the list of acronyms and abbreviations for each report.

§ Conduct a final review and thoroughly check for consistency in spelling, grammar, formatting (including fonts, sizes, spacing, bullet listings), footnotes, and endnotes.

§ Utlilize Microsoft Word’s “track changes” function to ensure that key changes made to the original text are visible for the other team members.

§ As appropriate, provide recommendations for the improvement of ATR’s policies and practices, including the content of the ATR Style Guide.

Frequency of Service Request

§ Weekly reports – each Wednesday

§ Monthly report – end of each month

§ Quarterly report – end of each quarter

§ Annual reports – end of each year

§ Ad hoc assignments such as briefs, consolidated analysis reports, case studies, reflections, etc.

Reporting

The Copy Editor will report to CBARD Project Manager.

Job requirements

§ Impeccable English language skills (Native speaker or excellent fluency)

§ Extensive professional copy-writing experience

§ Experience and familiarity with social science research and policy language and writing style

§ Experience in the humanitarian aid and development industry considered an advantage
