The IRC’s International Philanthropy and Partnerships (IPP) unit, a part of the External Relations (ER) department, leads on the organization’s engagement with corporations, foundations and international philanthropists globally. The USA Philanthropy (USA Phil) unit, also a part of the ER department, leads on the organization’s work with USA-based High-Net-Worth Individuals.

The Global Partnerships and Philanthropic Services Team, a separate unit headed also by the VP, IPP, aims to is to fulfill and deliver the entire suite of partnership and philanthropic services of both the High Value teams, namely IPP and USA Philanthropy, that together generate more than 80% of the Organization’s annual revenue from the private-sector. Together these teams comprise of a staff size of circa over 100 experts ranging from specialized fundraising and expert-service delivery.

The Department Manager is an essential member of this team and is responsible for the administrative and operational support of key facets of the management and operationalization of functions across the two units. The ideal candidate will be an enthusiastic, high-energy, and personable individual who is passionate about the IRC way and keenly motivated to make an impact on the work through their contributions to the larger team. S/he/they will also possess the ability to think in, create, and implement independent work. The Department Manager will collaborate and partner with a variety of colleagues within ER and across IRC.

Major Responsibilities:

• Maintain an up-to-date full-staff tracking system for people-management purposes (staff leave, location, global remote-working, global outposted staff) and coordinate with HR in employee-related matters.

• Manage the policy process – and subsequent development and roll-out as needed- of global best practice to ensure optimal workings across the staff-members of the two teams including through the effective management of regular subscriptions to technical-sources, maintenance of a professional-development tracker, conference- attendance, technical supplies and equipment etc.

• Work alongside the Administrative Assistant to the VP to provide the necessary support to the effective execution of the global high-value needs of the Office and subsequently the IPP and GPPS team, through the effective coordination of agendas, plans and organizing of internal meetings, off-sites, global all-teams etc.

• Responsible for day-to-day management of the IPP and GPPS budgets, including overseeing processing of expenses, invoices, and contracts through also the best-use of internal systems to the IRC.

• In consultation with team leads, monitor KPIs and oversee workflow management of team activities and assignments- including through close collaboration with high-value analytics.

• Track and manage the distribution of relevant donor communications, internal IRC information, and email correspondence to colleagues and other stakeholders.

• Develop and maintain excellent working relationships with ER colleagues, program and support staff across IRC.

• Cultivate through effective workings, activities and initiatives a one-HV culture, across the two HV teams through regular touchpoints, info-sharing newsletters and other such activities and proposals.

• Manage gift-in-kind contributions, as requested, to ensure appropriate recording, tracking and management internally; might at times be required (upon training) to also liaise with external stakeholders to fulfill this functions.

• Be the IPP and GPPS focal point on areas of enterprise-wise accountability as requested by the VP.

• Support other projects and take on additional responsibilities as needed.

Qualifications

Education: Bachelor’s degree, or equivalent experience.

Work Experience: At least two years of previous work experience in a fast-paced office setting. Experience and/or interest in working in a non-profit development department or the humanitarian sector preferred.

Demonstrated Skills and Competencies:

Minimum:

• Strong Microsoft Office Suite knowledge (Outlook, Excel, Word, PowerPoint) and database management skills preferable.

• Ability to use advanced virtual-working technology and platforms (Slack, Zoom, Google Hangouts, etc.)

• Proven organizational and time management skills: the ability to work accurately and productively in a fast-paced environment and respond/adapt to shifting priorities.

• Excellent interpersonal skills and written and oral communication skills: the ability to effectively interact with a variety of internal and external contacts with confidence and poise.

• Strong listening skills and the ability to accurately follow directions.

• Exceptional attention to detail and commitment to deadlines.

• The ability to work effectively in a team environment as well as take initiative independently.

• Commitment to respect and maintain confidentiality of donor information.

Preferred:

• Experience with Salesforce or other donor database management system.

• Experience working across global markets and stakeholders.

• Experience servicing global teams of different functional-experts and relevant needs.

Working Environment

This role requires working remotely full or part time (i.e., telecommuting). Applicants must have a home or alternate workspace they can effectively complete their work from during regularly scheduled hours.
