Position: Medical Commodities Coordinator – National staff

Location: Gaziantep, Turkey

Reports to: NW Program Manager

Duration: 11 months, extension upon funding

Often, RI is the only organization providing healthcare, education, logistics, energy, capacity building, economic development, sanitation, and many other forms of assistance to these highly vulnerable communities.

Position Summary:

The position under program department with responsibility of managing the pharmaceutical, consumables and medical equipment supply chain of the health program. The primary functions of the Medical Commodities Coordinator is to assist the program Manager and health team in planning procurement, warehousing, distribution and tracking of medical commodities required by supported health facilities, ensuring the existence of stock records and issuing regular consumption reports from the health facilities, ensuring inventory accuracy from warehousing to transportation to field site delivery points; supervision and capacity building of medical commodities officers, on-the-job training and use of standard quality assurance tools in medical commodities supply chain management

Position Duties and Responsibilities:

  1. Develop a detailed procurement, distribution and monitoring plan for required commodities based on RI’s donor agreed work plan.
  2. In coordination with RI’s monitoring and evaluation department and programs team, monitor and evaluate appropriate implementation of interventions against program objectives and indicators.
  3. Ensure compliance with RI policies and procedures, donor regulations and local laws.
  4. Ensure timely reporting on stock status of consumables to help with planning of stock replenishment and that tracking through to end-user has occurred
  5. Ensure regular and effective communication with Procurement, Logistics, Finance, programs, health unit and all other RI team members, and associated health facility leadership
  6. Assure appropriate and timely implementation of supply chain training interventions
  7. Review medical supply stock and update reports regularly and make sure WH databases are up-to-date at all times
  8. Meet with the programs team regularly to update project progress and challenges/solutions
  9. Schedule regular site visits for monitoring and supervision to ensure quality of commodities and accurate tracking of information and documentation
  10. Compile and assess medical commodities data and submit timely reports including cyclical and regular inventory of all warehouses and monthly medical stock analysis
  11. Work with health technical advisor, medical coordinator and programs team and relevant departments to develop and implement tracking systems both for distributed medical supplies and monthly consumption reports
  12. Work with programs team and supported health facilities to revise Master Lists for all consumables and equipment including kit contents as required
  13. Provide regular reports, document results and lessons learned, and maintain detailed departmental records
  14. Represent RI in a positive and professional manner contributing to the creation of a positive image and overall credibility of the organization.
  15. Ensure all procurement are compliant with donor and RI policies and regulations.
  16. Coordinate and collaborate with pharmacy coordinator for harmonizing site visit plan of pharmacy monitoring officers and medical commodities officers.

Qualifications & Requirements:

  1. Must have degree in pharmacy, medicine or related fields of public health and relevant experience in managing large stock of medical supplies
  2. Must have at least 2 years’ experience working with pharmaceuticals and medical supplies
  3. Experience and knowledge of working on USAID pharmaceutical guidelines will be an added advantage

  4. Must have experience with ordering and tracking medical procurements

  5. Must have experience with warehousing and assembling medical and surgical kits

  6. Must be able to analyze and interpret data and to track performance against program indicators

  7. Must be fluent in written and spoken English; knowledge of Arabic preferred

  8. Must be skilled in Microsoft Office specially MS-Excel and MS-Word

  9. Preferable to be able to travel to field sites (Turkey and Syria)

  10. Must have excellent organizational skills and ability to handle multiple tasks in a dynamic environment

  11. Must have the ability to work effectively with various personalities and cultures
