Job Summary/ General Purpose of Job 

Accountable for performing duties related to facilities management, facilities systems administration, inventory and asset management, emergency preparedness and recovery, risk management, and other facilities-related duties in support of all departments. Responsible for training staff and volunteers on facilities-related protocol.


Essential Job Functions and Responsibilities (listed in order of importance and/or time spent)
• Trains staff and volunteers on facilities-related protocol, including workplace safety and emergency preparedness; assists with the staging of safety drills. 
• Liaises with Landlord/Property Manager, staff, and stakeholders on matters related to maintenance and repair of facilities and grounds; prepares incident reports, as needed.
• Manages customer service tickets; works with IT and division staff to update and maintain service ticket forms and feedback surveys.
• Serves as system administrator for service ticket, asset management, and facilities management applications; performs routine systems audits and upgrades.
• Manages inventory of furniture, computer, and networked assets; oversees check-in/-out of assets; maintains physical inventory counts; manages inventory of software licenses.
• Supports division staff with procurement and competitive bidding of facilities-related goods and services; assists with development of non-personnel expense budgets for facilities-related goods and services; assists with taxable property rendition reporting.
• Oversees organization and orderliness of storage areas and units, including cabinets and closets, to comply with policies and regulations.
• Manages inventory of access keycards and building keys; maintains access control system user roles and permissions; responsible for assigning or deactivating permissions and issuing and retrieving keycards and building keys. 
• Assists with staging of officewide events and activities; oversees proper usage of spaces in compliance with safety/security policies.
• Performs duties related to facilities-related risk management, including routine ergonomic assessments; works with division staff to mitigate risk factors.
• Provides support to division staff and stakeholders with workspace planning. 
• Responsible for maintaining and executing emergency preparedness, business continuity, and disaster recovery plans and procedures.
• Performs other related duties as required, including responsibilities of the Facilities Coordinator.
Required Education, Qualifications, Experience
• Possession of a high school diploma/GED and a minimum of 1 year experience in facilities coordination.
• Fluent in English and Spanish in spoken forms.
• Able to multitask, prioritize, and manage time efficiently.
• Commitment to exceptional customer service; strong interpersonal and negotiation skills; excellent verbal and written communication skills in English.
• Strong problem-solving and analytical skills; strong organizational skills; outstanding attention to detail.
• Proficient in Microsoft Office 365 and Google Business tools.
• Intermediate proficiency with Adobe and Microsoft Office products (Word, Excel, OneDrive, teams)
• Proficient with conducting virtual meetings, training, and observations on software platforms such as Zoom, Teams, etc.
• Knowledge of ADA and OSHA compliance standards.
• Have reliable transportation to travel to off-site work locations.
• Have reliable home Internet service.

 

Preferred Education, Qualifications, Experience
Possession of an associate degree in facilities management, or other work-related field. 
• Prior experience in implementing emergency preparedness plans. 
• OSHA 10 certified. 
• Experience in worker’s compensation claims and incident reporting.

Physical Requirements 
Needs to be able to successfully perform all required duties. Some travel and weekend work may be required. Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Must be able to lift up to 25 pounds.

As a normal course of business, this job will typically require travel of less than 10% of the time.

ProBAR leadership has responded proactively to support the health and wellbeing of our staff and the individuals we serve.
