This position is a headquarters-based role which forms part of the Geneva Human Resources (HR) team that provides common services support.

How can you make a difference?

Under the general guidance of the Snr. Human Resources Associate, and in close coordination with the HR team, as HR Assistant you will be responsible for the following:

1. Support to business partnering

  • Supports the business partners in assisting clientele (Geneva Outposted and EMOPS Geneva personnel) with onboarding and offboarding. This includes Swiss entry visa support, verifying eligibility for carte de legitimations (CDLs), requesting for new and extension of CDLs. Liaising with UNOG shipment unit and Common Services Operations to provide clients with up-to-date accurate information on shipment and diplomatic privileges.
  • Updates the Geneva Welcome kit with up-to-date and accurate information and share with clients as part of onboarding.
  • Supports the business partners in assisting clientele in using HR systems such as Talent Management, Agora and Achieve.

2. Support in processing of entitlement and benefits

  • Maintains and updates personnel-related records and files, ensuring relevant information on each staff member is up-to-date and accurate.

 3. Support in recruitment and placement

  • Creates advertisements for staff, consultancy and internship vacancies in the Talent Management System (TMS)
  • Assists with the review of consultancy contracts by ensuring that all necessary documents has been submitted.
  • Records and maintains internship and volunteers recruitment files, ensuring all necessary documentation has been submitted.

4. General office support

  • Maintains and generate automated databases containing HR related statistics and generating monthly and quarterly reports and staff lists for all Geneva based entities.
  • Drafts and/or processes a variety of correspondence and other communications including personalized attestations.
  • Schedules appointments and meetings.

To qualify as an advocate for every child you will have…

  • Completed secondary education, preferably supplemented by technical or university courses in the area of human resource management.
  • A minimum 5 years of progressively responsible HR or relevant administrative work experience.
  • Fluency in English (written and verbal) is required. Working knowledge of French would be an asset.
  • Good knowledge of HR principles, rules, regulations and procedures within the UN would be an asset.
  • Computer literacy and the ability to effectively use standard office software tools as well as good knowledge and skill in using HR systems.
  • Ability to extract and format data and to solve operational problems
  • Ability to organize own work, set priorities and meet deadlines.
  • High sense of confidentiality, initiative and good judgment.
  • Ability to work effectively with people of different national and cultural backgrounds.
