Main purpose of job:

The British Embassy is looking for an A2 (L) Administrative and Policy Assistant (Trade Policy and Economics) who will provide support to the Trade Policy and Global Issues Teams, assisting the British Government’s in its delivery of the United Kingdom’s Foreign Policy agenda overseas. By providing administrative, logistics and policy support, we are hoping to open up and develop new markets to deliver a sustainable future, create opportunities for British business and provide timely and valuable data to facilitate decision-making.

Roles and responsibilities / what will the jobholder be expected to achieve?:

To support the Trade Policy and Global Issues Teams in the Embassy by delivering administrative work for projects, policy support particularly linked to Trade/Economic priorities and work on the logistical aspects of visits and events to ensure high quality outcomes.

The main tasks and responsibilities can be divided in three main strands:

  1. Logistics and Administrative Support
  • Monitor and manage the Trade Policy and Global Issues Budget.
  • Give support for the administrative and financial processes (Prism, Claims, Payments etc.) to maintain a healthy level of performance, VFM achieving 100% expenditure and participate in meetings as the team’s Corporate Services Liaison.
  • Monitor and manage the local budget to maintain a healthy level of performance by providing monthly updates to each team and matching real expenditure against profiled expenditure. 
  • Give advice to the team on administrative processes.
  • Work on the logistical aspects of visits and events to ensure high quality outcomes including Value For Money (VFM).
  • Ensure visits run smoothly and participants give positive feedback on successful and well-attended events.
  • Support the teams by providing read-outs of relevant meetings.
  • Work with internal and external stakeholder to set-up bilateral meetings/events.
  • Be the Trade Policy and Global Issues Teams information management lead by managing the team’s digital repositories.
  1. Policy Support
  • The successful candidate will have the opportunity of working closely with the Trade Policy and Economics team in the delivery of their policy priorities.
  • Lead and work as part of a team in certain research projects/requests. Help gather and summarise information on some of Mexico’s and the UK’s key policy issues (Rule of law, market access, regulation, economic competition, tourism etc.).
  • Deliver timely and accurate policy analysis support to the teams.
  • Support the Embassy’s Market Access work.
  • Take part in the Trade Virtual Team.
  • Support the Global Trade Programme in the delivery of its projects in Mexico by providing analysis, data and logistics support as per needed.
  • The successful candidate will also have the opportunity of working (on a case-by-case basis) on other policy areas such as financial services and tourism.
  1. Line management
  • The successful candidate will also line manage directly the Economics and Trade team intern.

Language: English and Spanish

Level of language required: Fluent

Other skills / experience / qualifications:

  • Be qualified to at least to degree (bachelor’s) level in related field (Economics, International Trade, International Relations).
  • Have a good understanding and interest in key national & international policy and trade issues. 
  • Excellent communication skills in both written and spoken English and Spanish are essential.
  • Have excellent communication skills relating to relationship building both internally and externally to the British Embassy. 
  • Must be able to work with budgets and provide information in an understandable format to stakeholders. 
  • Excellent data management and analytical skills.
  • Should be a proactive and creative self-starter with strong interpersonal skills who has the ability to learn quickly.
  • Must be willing to work in constantly changing multicultural environments.
  • Be able to adapt quickly to a dynamic working environment where requests can greatly vary.

  • Experience in managing budgets and finances is desirable.
  • At least 1-2 year experience working in a full-time role on a related field.
  • Good knowledge of Mexico’s most relevant data repositories.
