Main purpose of job:

To provide high quality support to the Caribbean Consular team who deliver assistance to British nationals overseas in this region. The role is primarily an administrative one. It will also involve interaction with members of the public, local and regional authorities in the UK and in the Caribbean, and colleagues across the consular network order to fulfil the delivery of the UK Consular Strategy. Strong IT, customer service and team working skills are essential.

Roles and responsibilities / what will the jobholder be expected to achieve?:

  • Maintain and update information packs and lists;
  • Compile statistics including activity recording and management information;
  • Liaise with colleagues as necessary on applications for emergency travel documents and documentary services;
  • Maintain and monitor Consular digital content including but not limited to Gov.uk and internal platforms;
  • Provide logistical support to the team’s outreach programs;
  • Provide consular frontline backup to teams as needed;
  • Compile expense submissions for monthly Honorary Consul expenditure;
  • Provide crisis response support as needed;
  • Other administrative tasks as directed by the Consular Regional Operations Manager.

  • Minimum 3 CXCs including passes in Maths and English;
  • At least 2 years’ experience in a customer service role;
  • Strong IT experience with proficiency in the use of Microsoft Office (including Word and Excel);
  • Excellent organisational skills and time management skills with ability to demonstrate initiative and self motivation;
  • Excellent communication skills; both written and oral, including the ability to communicate at all levels;
  • Ability to handle information in a confidential and pleasant manner while engaging with both customers, colleagues and stakeholders;
  • Proven ability to prioritise, effectively manage and execute multiple tasks;
  • Ability to work autonomously if required;
  • An excellent command of the English language is required;
  • Must have the legal status to live and work in Barbados.

  • Qualification in Business Administration or a similar field.

Learning and development opportunities:

  • Core Consular Mandatory Training: e-learning and self-study – Introduction to Consular work, Wellbeing, Resilience and Stress, Supporting Vulnerable People, Safeguarding Children, Assistance Guidance and other modules as set out on FCOGlo for Consular Officers at the time of hiring.
  • Other FCDO Mandatory Training: Responsible for Information , Diversity at Work, Health & Safety Awareness, Unconscious Bias, Disability Awareness, LBG&T Awareness  and other modules as set out on FCOGlo for Consular Officers at the time of hiring.
  • Delivering Consular Services: Essential Assistance Work (one-week long mandatory course which is currently virtually delivered due to the COVID-19 pandemic); induction to the Consular IT systems,  Delivering Digital Consular Services, Effective Digital Content  and other modules as set out on the FCDO’s digital learning platform for Consular Officers at the time of hiring.
  • Additional Consular and Crisis Management: variety of e-learning, workshops and videos will be provided.
  • Induction segments: reading, discussion and mentorship.

The role brings the opportunity to acquire knowledge of consular policy and practice. In addition, it offers the chance to develop widely applicable skills, for example in stakeholder management. The Americas Consular Network places great emphasis on promoting L&D opportunities via Post and the Consular programme.

Working patterns:

This is a part-time role: 20 hours per week.  The job holder will liaise with the Consular Regional Operations Manager regarding exact weekly office hours. The job holder will be required to be flexible about working hours. Time off in lieu will be available to compensate for evening/weekend hours worked. Flexible working can be discussed after the successful completion of the probationary period.

The role is open to anyone with the independent right to reside and work in Barbados.

The role requires someone who is flexible, adaptable and pays attention to detail. The job holder will be part of the regional network, and will be expected to work harmoniously with their colleagues. Desirable personal attributes include excellent interpersonal skills (in person and on the telephone) with a positive, friendly, polite and outgoing attitude. The ability to take the initiative, and make decisions independently regarding tasks required but also work as part of a team. The ability to respond calmly and quickly to changes of plan and last minute requests.

  • The period of probation for this role in 6 months, though the British High Commission reserves the right to extend this in order to fairly assess performance.
  • A full induction and coaching will be arranged for the successful applicant.
  • The pro-rated starting salary for this position is BD$ 25,522 per annum.
  • A comprehensive mandatory pension plan is offered after successful completion of the probation period.
  • Subject to plan provider approval, group medical coverage is offered after the first month of service.
  • Core office hours are 7.45am-4pm, Monday -Thursday and 8am-1pm on Fridays.
  • The annual leave entitlement is 16 days pro rata rising to 20 days after one year of service. A combination of up to 14 UK and local public holiday days are also observed.

Employees who are not liable to pay local income tax on their Mission salary, eg some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.
