The British Embassy in Prague is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for a Corporate Services Officer to act as an assistant to the Corporate Services team and provide support with day-to-day administration, procurement & finance, to liaise with UK-based staff and work on other tasks and projects as required by current operational needs.

Main duties and Responsibilities:

  • Act as a Community Liaison Officer, providing wide range of support to UK Based staff during their posting and assist Deputy Head of Corporate Services (DHCS) with HR admin tasks related to UK Based staff postings;
  • Provide support to DHCS on protocol issues, liaising with Czech authorities;
  • Be responsible for residual invoice processing and daily monitoring of invoice mailbox;
  • Procure goods and services for the Embassy using PRISM, acting as a PO requisitioner and receiver and adding new suppliers to the system, and organize regular VFM checks in relation to market situation in cooperation with DHCS. Keep the offline Agreed Supplier List up-to-date;
  • Monitor the Financial Performance and Compliance Indicators on a monthly basis and perform Prism housekeeping accordingly, keeping HCS and the other DHCS briefed on the post’s performance, and taking remedial action as necessary;
  • Update the currency calculator monthly. Maintain Per Diem Meal Allowance spreadsheets and send updates to all staff monthly. Perform the daily monitoring of local official exchange rate in relation to FCDO exchange rates;
  • Act as back up IT Support Officer and provide basic support to IT users in their absence;
  • Be responsible for the CS Team’s information management and maintain paper and electronic files, in line with the instructions of Head of Corporate Services and DHCS;
  • Provide general administrative support to the CS Team and support with collating and processing various data returns and reports for London and regional hubs, as agreed with HCS and DHCS;
  • Arrange Annual Travel insurance for country based staff and act as an emergency backup payroll processor;
  • Manage the uniforms rolling programme and Embassy hotel contracts;
  • Maintain Electronic Equipment and Furniture Databases;
  • Cover for other CS team members in their absence and perform other ad hoc tasks based on operational needs.

  • Full professional proficiency in English and Czech, including excellent writing skills (written and spoken, minimum of C1 level for CEFR framework*);
  • Bachelor degree in a relevant subject – Economics, Finance, HR;
  • Experience of team working and very good communication skills;
  • Previous experience with working in an admin support role (e.g. back-office, shared services centre or corporate services team);
  • Proficient in using MS 365, especially MS Word, Excel, Teams and Outlook;
  • High standard of professional behaviour.

  • Previous experience of working in an admin support role with some specialised knowledge of HR and/or Finance.

This is a full-time position of 5 working days (37.5 hours net) per week, for a 2 years fixed term contract. Working hours are Monday to Friday from 9:00 to 17:00 with a flexible working hours arrangement. Staff are entitled to time-off-in-lieu for extra hours worked. The annual leave entitlement is 25 days per year pro rata and the Embassy enjoys an average of 14 Czech/UK public holidays per year.

The successful candidate will be subject to professional background check, security clearance and 3 months probationary period.

The successful candidate must have pre-existing work authorisation for the Czech Republic in order to apply.

Staff recruited locally by the British Embassy in Czech Republic are subject to Terms and Conditions of Service according to local Czech Republic employment law.

Visa/work permit requirements: Candidates must currently hold the independent right to live and work in  Czech Republic and be prepared to ensure that right remains throughout the scope of the contract.
