The British Embassy in Rome are part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for an Executive Assistant for the Economic, Social & Trade Policy Section.

The successful candidate will provide admin support to our Economic, Social and Trade Policy (ESTP) team in Italy, including organising visits, meetings and events, maintaining databases, profiling travel and entertainment budgets.  The role-holder would also provide flexible support on Health/C19 Response and other policies priorities.

Main responsibilities will include:

  • Support the planning and successful delivery of diplomatic outreach and engagement activities and events;
  • Organise Rome-based and regional visits and meetings by team members and assist on high-level visits to Italy on an ad-hoc basis;
  • Manage the administrative requirements of the team, including IT filing, managing team, travel and entertainment budgets, managing databases, profiling and monitoring team spend;
  • Assist with policy research and briefing;
  • Learn to use effectively FCDO IT systems (MS Office 365, MS-Teams, etc.);

Corporate: Actively participate and contribute to activities in a corporate capacity within the Embassy, including the wider corporate agenda of the Italy network.

  • Fluency in English and Italian (both oral and written, minimum C1 level*);
  • Experience in managing complex events;
  • Excellent organisational skills, including working to tight timelines;
  • Excellent IT skills, including proficiency with MS Office applications (Word, Excel, PowerPoint, Teams);
  • Good networking and relationship-management skills. The successful candidate will need to work with colleagues to develop and extend existing contacts, and professionally handle communications with a wide network of stakeholders;
  • A proven track record in working well with others is central to this role. The role is part of a close-knit team but also is involved working with colleagues across the Italy network and in Whitehall.
  • Flexible approach, strong initiative and adaptability to evolving work priorities.

  • Previous experience of organising events would be helpful;
  • Budget management experience would be an advantage.

This is a full-time fixed term position with one year plus one year renewal, graded A2 (L) according to the FCDO grading structure. The monthly gross salary is € 2,312. The salary is paid monthly 14 times per year including € 10.33 EDR paid 13 times per year, with double salary payments in June and December. If working less than a full calendar year, the additional salary payments will be pro-rata.

Working hours are 35 hrs per week. There is flexibility on how the hours are worked across the week although 4 or 5 days is preferable.

The appointment is subject to security clearance, professional background check and the successful completion of a 4 month probationary period.

All staff employed by the British Embassy are subject to Italian income tax (IRPEF). However the administration of these tax payments will vary depending on nationality.

The successful candidate will be enrolled in the Italian State Social Security Scheme. Staff recruited locally by the British Embassy in Rome are subject to terms and conditions of service according to local Italian employment law.

Visa/work permit requirements: Candidates must currently hold the independent right to live and work in Italy and be prepared to ensure that right remains throughout the scope of the contract.
