The British Embassy in Athens is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for a Project Officer who will coordinate works and act as a liaison point between the London-based Project team and local stakeholders on all works for a large refurbishment project. This involves organising building moves, packing and storage coordination as well as acting as the point of contact for local contractors and monitoring KPIs.

Main Duties and Responsibilities

  • Project liaison: Act as main link between the Project team based in London and British Embassy Athens team. Manage flow of communication and following up on requests by either parties to ensure coordination. (ca.25% of time)
  • Packing and Storage:  assisting ESND by looking at what furniture from the Residence needs to be stored or can be relocated. Coordinating quotes with local packing and storage companies and oversight of service delivery. Liaise with Government Art Collection (GAC) team on transport/storage/exchange of GAC-owned works of art. Organise disposal of unnecessary furniture as required. Procurement of replacement furniture as required. (ca. 25% of time)
  • Building Moves: put together timeframes and deadlines for building moves. Coordinate between British Embassy Athens, ESND Estates and Local Contractors for all planning of decant move.(ca. 20% of time)
  • Contractor and logistics coordination: managing information flow between local suppliers and contractors such as Public Electricity Company etc. Assisting with contractor visits to Athens from the UK with logistics and meeting coordination. (ca.15% of time)
  • Performance Management: Monitor performance indicators and report to London and Local team. Identify potential improvements and suggest risk mitigation measures. (ca.10% of time)
  • Other admin: updating project timetables and processing costs according to internal policy and P2P processes (ca.5% of time)

  • Strong communication and organisational skills will be essential to success in this role.
  • Fluency in oral and written English( minimum C1 level for English and minimum B2 for Greek according to Common European Framework of Reference for Languages *)
  • Good track record of project management experience and use of relevant tools
  • Proficiency using MS tools (Outlook, PPT, Word, Excel and Microsoft Teams)

  • Delivery of previous similar office projects or projects requiring similar skill sets will be seen as highly desirable
  • Good level of Greek

This is a full-time (37.5hrs per week net), temporary 2-year position, with a possibility of extension.

The British Embassy offers a competitive remuneration package, 24 days annual leave entitlement (given pro-rata to staff on fixed-term contracts and/or staff working part-time), a training package and flexible working opportunities. Monthly salary for this position is EUR 2,275.65  (Gross) currently payable 14 times a year (as per Greek labour law). An individual personal development plan will be agreed with the successful candidate.

The successful candidate will be subject to confirmation of a background and security clearance. Anyone with right of residence and employment in Greece may apply, including all EU / EEA citizens and the family members of EU / EEA nationals exercising a treaty right in Greece.

Staff recruited locally by the British Embassy is subject to terms and conditions service according to Greek employment law. The British Embassy does not sponsor work permits.
